About the Role
This position is for a Marketing Event Coordinator who enjoys delivering polished event experiences and developing strong working relationships. You will support workshops and educational events run by Oath by sourcing, booking, and managing venues nationwide.
As part of the marketing team, you will partner closely with venue contacts to handle scheduling, logistics, agreements, and day-to-day communication. Your work will help ensure workshops are organized smoothly for attendees, presenters, and internal teams.
This is a fully remote role suited to someone who is highly organized, detail-oriented, and comfortable managing several priorities at once. It is a strong fit for a self-directed professional who performs well in a quick-moving environment and enjoys ownership of outcomes.
Key Responsibilities
- Find, assess, and secure venues that match workshop objectives, audience expectations, and budget limits.
- Develop and maintain productive relationships with venue representatives and event partners across different markets.
- Handle venue coordination details such as scheduling, room setup, audiovisual requirements, catering, and attendee needs.
- Support contract discussions, agreement reviews, and related documentation.
- Act as the main communication link between Oath and venue partners before, during, and after events.
- Keep accurate records of venue details, contracts, event calendars, and communication threads.
- Work with marketing, operations, and presenter teams to confirm event readiness.
- Watch timelines closely and address logistical issues early so they do not affect workshop delivery.
- Monitor venue spending and help with budget tracking.
- Look for ways to strengthen venue sourcing and improve event execution processes.
What We’re Looking For
- Strong organization and time-management abilities, with the capacity to juggle multiple projects at once.
- Clear written and verbal communication skills.
- Comfort working independently and staying productive in a fully remote setup.
- Excellent attention to detail and consistent follow-through.
- Ease in building professional relationships and communicating with external partners.
- Working knowledge of Google Workspace, Microsoft Office, CRM platforms, and project management tools.
- Ability to prioritize effectively, meet deadlines, and adjust to shifting needs.
- A proactive, solution-oriented mindset for handling issues as they arise.
- Prior exposure to event coordination, hospitality, marketing, customer service, or administrative support is beneficial but not mandatory.
- Experience with venue coordination or contract negotiation is an added advantage.
