Role overview

Join a long-established and expanding law firm located in Greenway Plaza, supporting legal bond documentation work in a high-volume, deadline-sensitive setting. The position focuses on preparing, checking, and distributing bond transcripts and related legal materials while keeping every document accurate, consistent, and compliant. You will also handle several projects at once, work with internal stakeholders and outside consultants, support contract review tasks and board meeting preparation, and keep records and client data well organized. This role calls for exceptional attention to detail, professionalism, confidentiality, and the ability to manage priorities on your own.

Key responsibilities

  • Create electronic transcripts and related legal or transaction documents with a very high level of precision.
  • Check, proofread, and format files so they remain complete, consistent, and aligned with internal standards.
  • Compile exchange bond document packets and prepare them for circulation.
  • Write transmittal letters and coordinate the release of finalized transcripts and backup materials.
  • Use track changes and document systems to maintain accurate version control.
  • Run several transcript and documentation assignments at the same time while meeting strict deadlines.
  • Monitor progress independently and follow up promptly on anything still pending.
  • Organize daily priorities and shift workload as needed in a fast-moving environment.
  • Oversee the Contracts Review inbox, sort incoming requests, and communicate deadlines, assignments, and billing information.
  • Work with internal teams and outside consultants to gather needed documents and resolve open issues.
  • Arrange meetings and conference calls, and help with pre- and post-board meeting tasks such as printing, copying, and routing signatures.
  • Track contract revisions, updates, and status items to keep work moving on schedule.
  • Upload, sort, and preserve documents across several file-sharing and document management platforms.
  • Maintain client databases, including contact lists, organization charts, calendars, and custom data entries.
  • Research client files and prepare summaries, reports, and supporting materials when requested.
  • Draft standard correspondence and routine legal documents.
  • Build familiarity with client-specific needs and contract attorney processes.
  • Protect confidentiality and use strong professional judgment in all situations.
  • Handle other administrative or project-related tasks as assigned.

Qualifications and requirements

Applicants should be highly organized, able to manage time well, and comfortable juggling multiple priorities. Strong written and spoken communication skills are important, along with excellent proofreading ability and a sharp eye for detail. Prior work drafting, reviewing, and editing legal or transactional documents is required, and the role also calls for independent work habits, strong interpersonal skills, and professional discretion. A bachelor’s degree is mandatory, along with at least 2 years of professional experience. Advanced working knowledge of Microsoft Word, Excel, Adobe Acrobat, and Dropbox is required. Candidates should be quick learners, able to perform under tight deadlines, and able to solve problems resourcefully while exercising good judgment under pressure.
