Role overview

This is a 6-month contract opportunity with the possibility of 90-day extensions. The position is based in Charlotte, in the southwest area, and follows a hybrid schedule with onsite work on Tuesday and Thursday and remote work on Monday, Wednesday, and Friday. The pay rate is $22 per hour.

The Leave of Absence Coordinator helps employees navigate Short-Term Disability (STD), Family Medical Leave Act (FMLA), and Americans with Disabilities Act (ADA) leave processes. The role also includes administrative and mail-handling support for the leave team. It is best suited for someone who is highly organized, careful with details, and able to stay effective in a busy, fast-moving environment.

Responsibilities

  • Guide employees through STD, FMLA, and ADA leave workflows while staying aligned with applicable laws and internal policies.
  • Respond to a large number of incoming calls and juggle several priorities during the day.
  • Record call details and case information accurately in the leave tracking system, including AbsenceSoft and Absence Tracker.
  • Look into leave-related discrepancies and work toward resolution.
  • Keep files, records, and case documentation well organized across the relevant systems.
  • Monitor leave status updates and follow up on pending items such as medical certifications and extension requests.
  • Coordinate with Unit Managers, HR, and Benefits teams to share timely updates about employee leave situations.
  • Collect, sort, and process mail for the Leave of Absence department.
  • Sort incoming paperwork and decide what needs to be scanned into Absence Tracker.
  • Update systems appropriately for mail that has been returned.

Requirements

  • A bachelor’s degree, or at least 3 years of experience handling leave-of-absence inquiries.
  • Working familiarity with federal and state leave regulations, including FMLA; experience with state-specific leave rules is an advantage.
  • At least 3 years in a customer support or call-center role.
  • Strong verbal communication skills and the ability to listen actively.
  • Careful attention to detail, along with solid problem-solving and follow-through skills.
  • Ability to manage heavy call traffic, multitask, and prioritize effectively in a high-pressure setting.
  • Comfort using Microsoft Office applications.
  • Dependable, accountable, and able to work on your own with initiative.
  • Prior exposure to STD and ADA processes is preferred.
