About the role
This position is responsible for helping the department run smoothly through day-to-day administrative support, document handling, and basic logistical assistance. The role focuses on keeping records organized, maintaining an efficient filing and database system, and coordinating documents with other teams when needed.
Key responsibilities
- Handle incoming and outgoing correspondence, mail, and fax communications, and log all document movement accurately and efficiently.
- Serve as a front desk contact when required, welcome employees, and direct them to the appropriate team member.
- Set up refreshments for meetings and support the handling of visitors and clients whenever needed.
- Keep the filing system orderly by sorting letters, records, and other paperwork into the correct files so that everything stays current and easy to locate.
- Ensure all documents are filed within 24 hours of receipt, with no mistakes, and help update department records as needed.
- Keep databases updated at all times and support routine record maintenance for department staff.
- Track consumption of office and pantry supplies, raise replenishment requests, and help maintain uninterrupted office operations.
- Carry out cleaning tasks in the assigned area to keep the workspace neat and presentable.
- Wash and prepare pantry materials regularly so they remain ready for use.
- Prepare and serve drinks to staff and guests, while also assisting with other kitchen-related duties.
- Take on any additional department tasks assigned by the Head of Department that are connected to this role.
Requirements
- Basic reading, writing, and number-handling ability, along with English communication skills.
- No previous job-related experience is required for this entry-level position.
- Ability to work well with others and contribute to team cooperation.
- Comfort with handling confidential information and managing assigned tasks independently.
- Strong administrative support skills to help meet departmental needs.
