About the Role

Emirates Flight Catering is seeking a Junior Administrative Assistant to join their team in Dubai. This full-time, onsite position involves supporting daily operations, managing flight schedules and catering orders, and ensuring smooth communication between departments. The role requires meticulous attention to detail, strong organizational skills, and the ability to work effectively in a fast-paced environment.

Responsibilities

  • Process and summarize incoming airline flight schedules for all operating flights.
  • Verify that all airline catering orders and service requests are accurately updated in the ERP/VITE systems and disseminated to relevant internal departments.
  • Report any discrepancies or deviations in airline orders to the on-shift Operations Assistant.
  • Review and validate new menus and schedule modifications within the DFSM, escalating any necessary corrections.
  • Generate and distribute production and flight preparation reports to all pertinent areas in a timely manner.
  • Prepare catering quotations, issue invoices, and manage payment tracking for cash-paying customers.
  • Compile and charge all catering services provided to credit customers.
  • Provide daily operational assistance and support to the Operations Assistant.
  • Contribute to the training of new staff and support on-the-job training (OJT) plans.
  • Monitor the functionality of all systems in use and report any issues to the Assistant Operations Manager on duty.
  • Maintain inventory of office stationery and supplies, ensuring timely placement of replenishment orders.

Qualifications

  • Possess a high school diploma or equivalent; a certificate or diploma in Business Administration, Hospitality, Supply Chain, or Catering is advantageous.
  • Have a minimum of 2 years of experience in an administrative or office support capacity; prior experience in catering, hospitality, or food services is a plus.
  • Demonstrate effective communication skills across all organizational levels.
  • Exhibit strong customer service abilities, particularly within high-pressure situations.
  • Possess achievement-oriented and problem-solving capabilities.
  • Be able to cultivate highly effective working relationships with both internal and external stakeholders.
  • Show an aptitude for creatively challenging individuals, situations, and current thinking.
  • Have the capacity to work independently and handle confidential information with discretion.
  • Proficient in computer applications including MS Word, Excel, and Outlook, with basic data entry and reporting skills.
