Role overview
This position supports the day-to-day administration involved in handling trade mark, patent, and design matters. The role focuses on preparing filing and prosecution documents, maintaining accurate records, coordinating translations, and helping the team meet deadlines efficiently.
Key duties
- Use intellectual property database tools to draft trade mark, patent, and design application forms, along with standard English-language documents used in filing and prosecution work.
- Arrange translation of correspondence between the firm and the Trade Marks and Patent Office, including translating office letters into English and translating the firm’s outgoing letters into English and Arabic.
- Work with case handlers to prepare routine letters and documents from established templates, such as trade mark approval sheets, powers of attorney, correspondence to foreign agents, and client update letters.
- Manage original documents and keep them organised and secure.
- Place telephone calls to the Trade Marks and Patent Offices as needed.
- Enter information accurately into the trade mark database.
- Maintain a high standard of quality across all output.
- Track case deadlines carefully and ensure matters stay on schedule.
- Step in to cover for colleagues when they are absent.
- Carry out additional tasks assigned by the IP Operations Manager.
Candidate profile
The ideal candidate has strong administration experience, preferably in a professional services environment, with trade mark or patent administration experience being an advantage. Clear communication in both Arabic and English is essential, as is a sharp eye for detail and the ability to stay organised in a busy environment. The role also calls for teamwork, flexibility, multitasking, and the confidence to work under pressure while meeting tight deadlines.
