Job description

Role Overview

The Human Resources Administrative Assistant supports day-to-day HR operations by handling administrative tasks across onboarding, employee documentation, payroll coordination, employee relations, and compliance. The position also helps ensure HR practices align with company policies and Saudi labor regulations.

Recruitment and Onboarding

  • Publish job openings through hiring portals and social channels.
  • Review CVs and help arrange interviews with the hiring team.
  • Set interview schedules and keep candidates informed.
  • Draft employment offers and prepare onboarding paperwork.
  • Assist with orientation sessions and new hire induction.

Employee Records and Documentation

  • Keep employee files and HR systems updated.
  • Maintain accurate and confidential personnel information.
  • Handle contracts, renewals, transfers, and exit documents.
  • Track expiry dates for key documents such as Iqama, passports, licenses, and certificates.

Payroll and Attendance Support

  • Coordinate monthly attendance and leave records.
  • Support payroll preparation and verification activities.
  • Maintain records for overtime, deductions, and allowances.
  • Assist with employee benefits administration.

Employee Relations

  • Respond to employee questions about HR rules and procedures.
  • Assist in resolving routine workplace concerns.
  • Support employee engagement activities and company events.
  • Help coordinate performance appraisal documents.

Compliance and Reporting

  • Help ensure adherence to Saudi Labor Law and internal policies.
  • Prepare HR reports and manpower statistics as needed.
  • Support audits and internal compliance checks.
  • Safeguard the confidentiality of employee data.

General Administration

  • Prepare HR letters, certificates, and official correspondence.
  • Coordinate training activities and maintain training records.
  • Assist with HR projects and other assigned administrative work.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 1 to 3 years of experience in HR or administrative support roles.
  • Prior exposure to Saudi labor regulations is preferred.
  • Good working knowledge of Microsoft Office tools, including Excel, Word, and PowerPoint.
  • Experience with HRIS platforms is an advantage.
  • Strong organizational and communication abilities.
  • English and Arabic fluency is required.

Additional Information

This is a full-time, onsite position based in Jeddah, Makkah, Saudi Arabia.
