Job Summary

The HR & Recruitment Administrator will provide essential administrative support, primarily to Liaison Care, with the capacity to assist the broader Liaison Group during peak times or staff absences. This role focuses on general HR and recruitment administration, ensuring efficient and professional support for managers, candidates, and colleagues. Key duties include maintaining accurate employee and candidate records, facilitating onboarding and pre-employment checks, coordinating interviews and job offers, preparing HR and recruitment documentation, monitoring compliance, updating systems, and responding to routine inquiries. The position also involves supporting the recruitment lifecycle from advertising to appointment, coordinating campaigns, liaising with stakeholders, and contributing to a positive candidate experience. There will be opportunities for growth, allowing for increased ownership of recruitment campaigns and involvement in process improvements.

Principal Tasks and Activities

Recruitment Administration

  • Support the entire recruitment process from advertisement to hiring, ensuring vacancies are managed efficiently and according to established procedures.
  • Manage recruitment campaigns via the recruitment system, including posting job ads, reviewing applications, advancing candidates, and keeping vacancy details current.
  • Offer administrative assistance to hiring managers throughout recruitment, which includes scheduling interviews, confirming arrangements, preparing necessary documents, and addressing common questions.
  • Maintain prompt and professional communication with candidates to ensure a positive experience, covering interview invitations, status updates, offer details, and pre-employment information.
  • Assist with initial candidate screening or CV review as needed, escalating applications appropriately.
  • Prepare offer letters and contracts, and support the administration of pre-employment verification, reference checks, right-to-work confirmations, and other compliance requirements.
  • With development, take on more responsibility for coordinating and supporting recruitment efforts across the Care department and the wider group.

Onboarding and HR Administration

  • Facilitate the onboarding of new employees by preparing contracts, offer letters, onboarding packages, and other employment-related documents.
  • Oversee pre-employment and compliance checks, ensuring all required documentation is received, logged, and followed up on promptly.
  • Maintain precise employee and candidate records in HR and recruitment systems, ensuring data is current, confidential, and compliant with GDPR and company policies.
  • Provide daily administrative support for general HR functions, such as updating records, drafting standard letters, filing documents, and ensuring the smooth operation of routine HR tasks.
  • Address routine inquiries from managers, colleagues, and candidates efficiently, escalating complex issues as necessary.
  • Assist with the planning and coordination of new employee inductions, including scheduling meetings and arranging system access.

General Administration and Team Support

  • Deliver general administrative support, primarily for Liaison Care, with the flexibility to assist the wider Liaison Group during busy periods or staff absences.
  • Update spreadsheets, trackers, databases, and records to effectively monitor recruitment, onboarding, compliance, and other HR administration activities.
  • Help coordinate meetings, manage diaries, plan interviews, and handle other administrative arrangements to support managers and the team.
  • Assist in preparing routine reports, compiling data, and supporting the creation of management information related to HR and recruitment administration.
  • Support audit and compliance efforts by maintaining organized records, tracking outstanding tasks, and ensuring documentation is complete and accessible.
  • Contribute to continuous improvement by identifying administrative efficiencies, supporting process changes, and adopting new work methods after appropriate training.
