Job description

Position summary

This role is a hands-on HR operations position reporting to the HR Manager. It supports craft labor recruiting and the full onboarding workflow for new hires, handling administrative and logistical tasks from job posting and candidate management through screening, orientation, and HRIS record updates. The position also provides daily support to HR leadership and contributes to the rollout of a new HRIS platform.

Core responsibilities

Recruiting coordination for craft labor

  • Manage job requisitions from opening to closure in the ATS/HRIS and keep listings current across hiring channels such as Indeed, iHire Trades, LinkedIn, oilfield-focused boards, and union halls when needed.
  • Review incoming applications, organize candidates, complete early-stage phone screens for hourly craft roles, and arrange interviews or skills evaluations with supervisors and field leaders.
  • Support sourcing efforts by helping identify passive candidates through job fairs, trade schools, union relationships, and referral programs while maintaining contact with labor vendors and staffing partners.
  • Draft offer letters for craft and hourly positions as directed by the HR Manager, then monitor offer responses and highlight repeated declines.
  • Keep applicant records accurate in the ATS/HRIS and prepare weekly reports on open requisitions and candidate pipeline status for HR and Operations.

Pre-employment and compliance processing

  • Launch and track background checks and drug/alcohol screenings through third-party providers, and quickly escalate any non-compliant outcomes to the HR Manager.
  • Coordinate fit-for-duty physicals, medical clearances, and required pre-start certifications such as H2S, OSHA 10/30, or SafeLand.
  • Complete I-9 verification for each new hire, submit E-Verify cases within required deadlines, and retain records in line with federal rules.
  • Track licenses and certifications for craft employees, maintain expiration records, and send advance renewal reminders to supervisors and employees.

New hire onboarding

  • Own the onboarding process for craft hires from offer acceptance through day one, including equipment, access, uniforms, and safety orientation coordination.
  • Prepare and process onboarding paperwork such as W-4 forms, direct deposit setup, benefits elections, emergency contacts, and handbook acknowledgments before the start date.
  • Help conduct or co-lead orientation sessions covering company culture, policies, safety expectations, and HR contacts.
  • Enter new hire data, transfers, and terminations into the HRIS accurately and correct record errors promptly.
  • Coordinate with field supervisors to confirm first-day arrangements for employees at remote or field-based job locations.

HRIS implementation support

  • Assist the Payroll Specialist and HR Manager with checking and migrating employee data into the new HRIS, including cleanup and audit activities.
  • Document new workflows and updated recruiting/onboarding procedures as they are developed, and maintain current SOPs for coordinator-level tasks.
  • Act as a first point of contact for employees and supervisors using self-service HRIS tools, escalating technical issues to the Payroll Specialist or implementation vendor.
  • Take part in testing recruiting, onboarding, and employee record features, and report any issues found during user acceptance testing.

General HR support

  • Maintain organized physical and digital personnel files while protecting the confidentiality of employee information.
  • Assist with HR communications including policy reminders, open enrollment messages, and safety notices.
  • Prepare and update HR reporting such as time-to-fill, onboarding completion, turnover by craft group, and headcount metrics.
  • Share timely hire, termination, and status-change details with Payroll to support accurate payroll processing.
  • Provide routine administrative help to the HR Manager, including scheduling, correspondence, and meeting coordination.

Education and experience

An associate degree or higher in Human Resources, Business Administration, or a related discipline is preferred, though an equivalent mix of education and experience is acceptable. The ideal candidate has at least 2 years of experience in HR support, recruiting coordination, or another administrative HR function. Background in high-volume hourly or craft labor recruiting is strongly preferred, and experience in oil and gas, construction, manufacturing, or field operations is considered an advantage. Prior use of an ATS or HRIS is required, and direct involvement in a system implementation is preferred.

Skills and competencies

The role calls for strong organization, careful data entry, accuracy in compliance tracking, and the ability to handle several open requisitions at once. Candidates should be comfortable in a fast-moving, field-based environment with changing priorities, have solid skills in Microsoft Word, Excel, and Outlook, and be ready to learn new HR systems. Professional discretion is essential when handling confidential employee data. Good verbal communication is needed for screening and orientation, along with working knowledge of I-9 and E-Verify basics.

Preferred background

  • PHR or SHRM-CP certification, or progress toward one of these credentials.
  • Familiarity with common craft certifications used in oil and gas work, including OSHA 10/30, H2S Alive, SafeLand, and TWIC.
  • Experience working with staffing agencies and union contacts for craft labor placement.
  • Previous support experience during an ATS, HRIS, or ERP implementation.
