Role Overview

This position sits within HR Operations and supports the full employee lifecycle from pre-onboarding to post-onboarding, background verification, compliance coordination, reporting, payroll inputs, and HR process support.

Responsibilities

  • Check candidate documents in the Zoho portal before the offer is released and follow up regularly to secure offer acceptance.
  • Start background verification and other pre-joining activities, and ensure they continue until the candidate completes joining.
  • Prepare access credentials for BOB and send joining formalities emails to new joiners three working days before their start date.
  • Work with the legal team on NDAs and other employment-related formalities.
  • Share onboarding schedules, coordinate with employees, and ensure a smooth joining experience.
  • Manage the complete onboarding process for new hires, including documentation, HR induction, and completion of joining formalities on day one.
  • Coordinate with internal teams for system access, ID cards, and other onboarding support needs.
  • Collect and retain all required employee documents in both physical and digital formats.
  • Follow up with new joiners for relieving letters within 45 days from joining.
  • Initiate background verification for candidates who have accepted offers according to SOPs.
  • Keep the BGV tracker updated and coordinate with candidates and verification vendors to close cases within defined turnaround times.
  • Chase pending or missing documents needed for BGV completion and invoice validation.
  • Maintain HR policies, SOPs, and related records.
  • Ensure compliance with labour laws and internal company policies.
  • Liaise with the HR compliance team for audits and monthly documentation.
  • Prepare HR MIS, analytics, daily activity reports, employee query trackers, and BGV trackers.
  • Set reminders and follow up on probation confirmation status, Zoho cases, and first-level escalations.
  • Coordinate insurance-related activities, including dependent additions.
  • Compare employee timesheets against client timesheets.
  • Review and validate vendor invoices.
  • Support payroll processing by sharing the required HR inputs.
  • Assist in HRMS implementation and automation initiatives.
  • Contribute to employee engagement activities and initiatives.

Requirements

  • Background in B.B.A., B.M.S., or B.Com with any specialization.
  • Prior exposure to HR operations, onboarding, document verification, or background verification work is useful.
  • Comfort working with HR systems such as Zoho and handling trackers, reports, and documentation.
  • Strong coordination skills for working with employees, candidates, vendors, legal, compliance, and internal teams.
  • Ability to manage multiple follow-ups, timelines, and process-driven tasks accurately.
  • Understanding of labour law compliance, HR policies, and payroll support activities is preferred.
