Role Overview
This is a permanent, full-time HR coordination role with Umbrella Family and Child Centres of Hamilton, supporting day-to-day people operations in a collaborative early childhood education environment. The position sits within the Human Resources team and is designed to strengthen the employee experience through efficient administration, accurate recordkeeping, and smooth coordination of hiring and onboarding activities.

In this role, you will report to the Human Resources Manager and act as a central contact for new hires, student placements, supervisors, and employees. Success in the position depends on strong organization, careful attention to detail, clear communication, and the ability to handle several priorities in a busy setting.
Working Details
Hours of work are 37.5 per week, with a Monday-to-Friday daytime schedule. The posted annual compensation range is $48,000 to $54,000.
What You Will Do
- Manage internal job postings and coordinate position transfer workflows.
- Oversee pre-employment and pre-placement paperwork collection along with onboarding activities.
- Facilitate orientation sessions for new employees and placement students.
- Handle offboarding tasks, including resignation processing and participation in exit interviews.
- Coordinate employee benefit enrollment and pension sign-up processes.
- Keep employee records current in the HRIS and monitor expiry dates for required credentials and certifications.
- Work with payroll and supervisors on staffing movements and employment updates.
- Carry out administrative, tracking, and reporting work using HR and recruitment systems.
- Continue building knowledge through training, coaching, and project-based work.
Qualifications and Experience
Applicants should have a diploma in Human Resources or an equivalent combination of education and experience. A CHRP designation, either completed or in progress, is considered an asset. The role requires 2 to 3 years of experience in Human Resources, office administration, or a similar field. Prior work in a unionized environment is also an advantage.
We are looking for someone who is highly organized, able to prioritize competing demands, and comfortable shifting between tasks in a changing environment. Strong administrative coordination, reporting capability, customer service skills, and solid communication are essential. Experience using HR and recruitment systems, including HRIS tools such as Dayforce, is important. The ability to handle confidential information with care and professionalism is required.
Additional Requirements
On hire, the selected candidate must provide a satisfactory Vulnerable Sector/Criminal Reference Check as well as a health assessment. The role also involves working in an office setting with regular computer use.
