Job description

Role Overview

Poms & Associates is hiring a Human Resources & Recruiting Coordinator to assist with daily HR operations and support the Human Resources Manager. This position plays a hands-on role across the employee journey, from recruiting and onboarding to benefits administration, HR data maintenance, and general people operations. The focus is on keeping processes organized, efficient, and aligned with legal requirements and company policies.

Schedule & Work Setup

This is a full-time role with a Monday through Friday schedule from 8:30 a.m. to 5:30 p.m. There may be occasional overtime. The role is hybrid, with remote work on Fridays, and the primary work location is in person in Calabasas, CA. Occasional travel may also be required.

What You Will Handle

  • Support the HR team with a range of programs, procedures, and daily administrative processes.
  • Manage key parts of the recruiting workflow, including posting roles, reviewing candidates, and coordinating interviews.
  • Carry out initial screenings and phone conversations with applicants.
  • Work with hiring managers and interview panels to schedule and organize interviews.
  • Keep candidates updated throughout the hiring process and help ensure a professional candidate experience.
  • Update applicant and hiring information in HRIS and ATS tools.
  • Help prepare offer letters and pre-employment documents.
  • Coordinate pre-onboarding tasks and support new hire setup.
  • Lead onboarding sessions for new employees and help create a smooth first-day experience.
  • Ensure new hire paperwork is completed accurately and system records are entered correctly.
  • Monitor the HR inbox and respond to employee questions about policies, procedures, benefits, and general employment matters.
  • Maintain accurate employee files and HR records across HR systems and related tools.
  • Assist with employee changes, leaves of absence, and terminations, including related documentation and coordination.
  • Support occasional payroll-related administration.
  • Contribute to HR projects, research tasks, and process improvement work.
  • Prepare HR reports, audits, and documentation when requested.
  • Handle sensitive and confidential information with discretion.
  • Support compliance with federal, state, and local employment and benefits laws.
  • Take on additional duties, projects, and research assignments as needed.

What You Need

  • High school diploma or GED is required; a college degree is considered an advantage.
  • At least 1 year of experience in human resources or a similar role.
  • Experience working with an HR information system; Paylocity knowledge is a plus.
  • Comfort using HRIS and ATS tools for recruiting and employee record management.
  • Strong understanding of HR practices, policies, and procedures.
  • Excellent verbal and written communication skills.
  • Ability to work well with others while also showing initiative and independence.
  • Strong attention to detail and reliable follow-through.
  • Good organizational ability, including prioritizing work and meeting deadlines.
  • Analytical thinking and solid problem-solving skills.
  • Professionalism, resilience under pressure, and sound judgment with confidential information.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • A coachable mindset, curiosity, and willingness to learn.

Compensation

The pay range for this role is $25 to $28 per hour. Final compensation will depend on factors such as education and prior experience.
