Role overview

Excalon Ltd is hiring an HR Administrator to support the HR team with day-to-day administration, record keeping, reporting, and coordination across HR processes. The business was established in 2002 and joined Renew Holdings Group in 2024. It operates as an infrastructure contractor serving the utilities sector and is continuing to expand, making this a strong time to join the company.

The position is based in Salford, Manchester and is a full-time, permanent role. The salary is listed as competitive.

Core purpose of the role

The main aim of this position is to provide efficient administrative support to the HR function, keep HR data accurate and current, manage routine HR queries, and pass on matters that need advice or judgement to the Trainee Business Partner or Head of HR.

The successful candidate will need to be organised, adaptable, proactive, and comfortable handling a varied workload in a busy environment.

Key responsibilities

You will serve as the main point of contact for HR administration queries and tasks, supporting the wider HR team across a range of activities.

Responsibilities include maintaining employee records in both paper and digital formats, making sure they are accurate, current, and stored securely at all times. You will also update employee information across systems and databases, prepare monthly sickness and retention reports, and manage HR documentation and paperwork.

The role also involves supporting payroll administration by uploading approved documentation to the HR portal accurately and completely. You will respond to employee questions about HR processes, escalating any issues that need advice, interpretation, or judgement to the Trainee Business Partner.

In addition, you will help prepare for internal meetings, take notes when needed, manage the Medicash online portal, monitor DBS checks, and flag any delays, concerns, or non-compliance in line with safeguarding and company policy. You will also keep the training portal up to date by enrolling new starters and maintaining accurate training records.

Recruitment support

You will coordinate administrative tasks across the recruitment process, working under the guidance of the HR Advisor. This includes posting vacancies, tracking applications, arranging interviews, and supporting pre-employment checks.

You will keep a full and accurate record of applications, organise interview schedules with hiring managers, confirm details with candidates, and ensure applicants are kept informed after shortlisting. All required information must be completed and filed securely.

Onboarding support

The role includes supporting the onboarding process for new starters. This covers completing pre-employment checks, carrying out right-to-work checks and DBS checks, and ensuring all new starter paperwork is finished before the agreed start date.

You will liaise with managers about possible start dates, coordinate with IT to arrange new starter setup, and manage induction logistics and associated documentation.
