This non-exempt role works under the direction of the Quality Programs Manager and helps the organization stay aligned with regulatory expectations and quality benchmarks tied to NCQA HEDIS and CMS Stars programs. Success in this position depends on strong organization, close attention to detail, clear communication, and the ability to coordinate effectively with internal teams and outside provider contacts while balancing shifting priorities.
Core duties
- Support the gathering, review, and submission of HEDIS data, including clinical record PDFs and supplemental files, in line with NCQA rules and deadlines.
- Help resolve questions or assistance requests raised by data collection vendors.
- Check assigned work for accuracy and completeness, and make sure file naming, structure, storage, and logging standards are followed consistently.
- Assist in keeping QI work aligned with current HEDIS and Stars requirements by tracking annual updates to measure specifications, submission steps, and timelines.
- Maintain detailed records throughout the year and during audit season, especially for HEDIS collection and validation activities and Imperial Health’s annual HEDIS roadmap workbooks.
- Support data analysis and quality checks by confirming that outgoing reports meet minimum standards and by assisting with incoming supplemental data and manifests when assigned.
- Proofread and help prepare materials from QI leadership for Imperial Health leadership, provider partners, and other outside stakeholders as needed.
- Help create, maintain, and refresh training materials for internal and external audiences, with emphasis on HEDIS measures, collection processes, and compliance obligations.
- Identify ways to improve efficiency, accuracy, interdepartmental coordination, and documentation/file management practices.
- Coordinate with healthcare providers and quality teams to complete assignments on time and support smooth HEDIS collection and submission workflows.
- Work with all relevant parties to meet task deadlines and audit-specification timelines.
- Perform other duties and special projects as assigned by management.
- Follow payroll rules and use the timekeeping system correctly, with minimal manual edits.
- Maintain regular and consistent attendance.
- Comply with the organization’s Compliance Plan and HIPAA requirements.
- Assist other teams when needed to help meet quality-improvement goals.
Additional responsibilities and behavioral expectations
- Participate in staff meetings as required.
- Attend required training sessions, seminars, and workshops to support ongoing learning.
- Protect client and customer privacy in accordance with HIPAA and IMAS standards of conduct.
- Communicate appropriately and maintain productive working relationships with managers, supervisors, coworkers, and other staff.
- Report security, health, or safety concerns to the appropriate manager as soon as reasonably possible.
- Carry out duties in a safe manner and support a safety-conscious work environment.
- Follow established policies and procedures and comply with standards set by governing and regulatory bodies.
Position requirements
- High school diploma or GED is required.
- Working knowledge of Microsoft Excel and/or experience using task lists and progress tracking tools is required.
- Preferred background includes 2–3 years supporting HEDIS, AMP, or other performance programs.
- Alternatively, at least 3 years of experience in an IPA, MSO, health plan, or a general healthcare quality setting is preferred.
- Proficiency with Microsoft Word, Outlook, Excel, and Adobe tools is needed.
- Strong organization and time-management skills are important for success in this role.
- Ability to prioritize effectively in a busy department is required.
- Knowledge of the Cozeva platform is considered an advantage.
- Strong verbal and written communication skills are expected.
- Must be able to follow instructions and also complete work independently according to departmental standards.
- Ability to work within various EMR systems is a plus.
- No license or certification is required.
