Role overview

Coethia is developing a fresh approach to how health information is produced, shared, and trusted. The company works with clinicians, students, and creators nationwide to create reliable health content and to strengthen the systems that help evidence-based information reach people.

The business operates at the crossroads of healthcare, media, technology, and community, and is expanding quickly.

This position is for an organized, highly proactive operations professional who will take ownership of execution across finance, HR, legal, and broader organizational workflows. The core systems already exist; the focus here is on keeping them moving, managing deadlines, coordinating with outside partners, surfacing problems early, and ensuring tasks are completed without gaps.

The role can be structured as either a full-time position or a fractional engagement.

Key responsibilities

  • Run the project management system and develop standard operating procedures for repeatable processes.
  • Handle day-to-day coordination with the accountant, legal advisor, and vendors supporting benefits and payroll.
  • Maintain compliance tracking for tax, payroll, franchise, and grant-related reporting timelines.
  • Complete onboarding for new employees and contractors through the HR and payroll platform.
  • Organize and manage documents, calendars, and materials needed for board preparation.
  • Monitor action items and help ensure the team stays on schedule.

Ideal candidate

The company is looking for someone with experience in operations, chief of staff, administrative, or coordinator-type roles, preferably within startups or mission-driven organizations.

The right person should be comfortable working across finance, HR, legal, and technology topics without needing specialist-level direction.

Experience in healthcare or another regulated environment would be an added advantage.

This role calls for a highly dependable, exceptionally organized person who consistently follows through and completes open loops.
