Role Overview

The Head of Admissions is central to creating a smooth, welcoming, and well-organised enrolment journey for prospective families. The position blends strong relationship management, customer service, administration, and event coordination, with a clear focus on meeting student enrolment goals and supporting retention. This is a people-facing role for someone who can build trust, communicate clearly, and help families move confidently from enquiry through to enrolment.

Key Responsibilities

  • Serve as the main contact for prospective parents, students, agents, and feeder schools, responding promptly and professionally by email, phone, and in person.
  • Support families through each stage of the admissions journey and create a positive first impression of the school.
  • Manage the admissions calendar, arrange visits and meetings, and keep schedules organised.
  • Enter and maintain application information in iSAMS, including offer details, financial information, and contracts.
  • Handle application deposits and respond to admissions invoice queries.
  • Maintain records for place and scholarship offers and prepare offer letters for the Head of School.
  • Plan and deliver admissions and retention events such as open days, entrance assessments, taster days, exhibitions, community events, and alumni activities.
  • Welcome and escort visitors during school tours, ensuring a polished and professional experience.
  • Coordinate with academic and administrative teams to arrange meetings with prospective families.
  • Work with the marketing team to keep admissions materials accurate and available in both online and printed formats.
  • Support local and community-focused marketing activity through social media and other communications.
  • Prepare and share new student welcome packs and assist with smooth onboarding in partnership with academic and house staff.

Candidate Profile

The ideal applicant will bring experience from admissions, customer service, sales and marketing, or a similar environment. They should be confident communicating in writing and verbally, highly organised, and comfortable juggling multiple priorities in a busy setting. Strong database skills, especially with systems such as iSAMS, and good knowledge of standard office software are important. Experience coordinating events would be an advantage.

Personal qualities should include warmth, professionalism, attention to detail, a proactive mindset, and the ability to work collaboratively as part of a team.

Additional Requirements

  • The successful candidate must be willing to complete a New Zealand police check before starting.
  • Flexibility to attend school events outside regular working hours may be required, including performances and parent-teacher interviews.
