Job description

Role overview

This position supports the company’s legal and government-facing administration by handling official transactions, employee paperwork, regulatory follow-ups, and day-to-day coordination with authorities. The role is essential for keeping operations moving without interruption, maintaining accurate records, and ensuring licenses and other legal documents are renewed on time.

Government relations and licensing

  • Gather, organize, and file the documents needed for banks, ministries, and other government bodies.
  • Track, renew, and follow through on company licenses with the relevant authorities.
  • Monitor the status of pending transactions until they are fully completed.
  • Receive and manage official communications sent to the company by government entities.
  • Generate documents through government portals such as SABER, including certificates of origin and other supply-chain related records.
  • Keep an eye on expiry dates for all official documents and arrange renewals early to prevent penalties.
  • Handle authorizations and industrial exemption requests through FASAH.

Employee government services

  • Manage the issuance and renewal of employee work permits, residency permits (Iqama), and visas.
  • Track attendance and leave information with management support and pass the data for payroll processing.
  • Oversee medical insurance registration for employees and their dependents, including support for yearly renewal negotiations.
  • Assist all employees, including temporary staff, with government-related requirements.
  • Support adherence to Saudi labor laws and related compliance obligations.
  • Coordinate exit-entry procedures for expatriate employees.
  • Maintain and renew company accounts on government platforms such as GOSI.

Government visits and inspections

  • Attend official government visits to the facility and accompany visiting officers.
  • Support inspections by the Labor Office, Ministry of Energy, Ministry of Environment, and other authorities.
  • Provide requested documents and help ensure compliance during audits and site visits.

Administrative and employee support

  • Support expatriate employees with government processes, especially where Arabic-language assistance is needed.
  • Help deliver training sessions by providing Arabic interpretation when required.
  • Maintain constructive employee relationships and reduce avoidable escalation.
  • Assist management with administrative work and documentation.
  • Prepare, organize, and retain files, records, and formal documents.

Compliance and operational support

  • Help the company remain aligned with Saudization requirements.
  • Monitor the company’s status under the Saudi traffic light classification system, including Red, Yellow, and Green levels.
