Role overview
This position is ideal for someone who enjoys structure, teamwork, and improving how an office runs. As Front Office Coordinator - Office Management (m/w/d), you will be the first point of contact for visitors, customers, suppliers, and employees. Through a professional, warm, and service-focused approach, you will help create a welcoming experience for everyone who interacts with REPA.
In addition to reception duties, you will play an important part in office administration and the ongoing development of the front desk area. The role calls for someone who can actively shape processes, contribute ideas, and bring energy to the reception and office environment.
Key responsibilities
You will handle front office operations, coordinate a range of administrative tasks, support internal services, and help improve workplace processes. The role also includes travel support, event assistance, and responsibility for certain site-related activities.
Reception and representation
- Welcome guests, visitors, and business partners in a friendly and professional manner.
- Represent REPA with a polished, helpful, and service-driven presence.
Office management and organisation
- Ensure smooth day-to-day operations at the reception and in the office area.
- Serve as a contact person for employees on organizational matters during daily business.
- Carry out a wide range of administrative and organizational duties.
- Coordinate service providers and assist with location-related topics.
- Hand over products and goods to self-collection customers.
- Manage incoming and outgoing mail together with the apprentices.
- Oversee REPA pool vehicles.
Travel and event support
- Arrange hotel bookings and other travel-related services.
- Provide pickup and drop-off support.
- Assist with planning and running internal meetings, events, and company functions.
Process improvement and development
- Help further develop the front office area.
- Contribute fresh ideas to improve workflows, procedures, and service quality.
- Support the creation of a modern and professional working environment.
What the company is looking for
- A completed commercial education or a comparable qualification.
- Several years of professional experience, ideally around 3 to 5 years, in reception, office management, front office, or a similar role.
- A strong service mindset and a clear focus on helping others.
- Excellent organizational ability, plus a structured and dependable way of working.
- Very good German skills at C1 level and good English skills at B2 level, both spoken and written.
- Confident use of standard MS Office applications.
- High level of initiative and a willingness to take responsibility.
