Role Overview
This position is designed for someone who enjoys bringing structure, communicating with people, and improving day-to-day operations. As the first point of contact for visitors, customers, suppliers, and employees, you will shape REPA’s first impression through a professional, welcoming, and service-minded presence.
In parallel, you will take on an important role within office management and help develop the reception area further. The company is looking for someone who can energize the front office, think beyond routine tasks, and contribute fresh ideas.
Key Responsibilities
Reception & Representation
- Welcome guests, visitors, and business partners in a warm and professional manner.
- Represent REPA with a courteous, polished, and service-oriented presence.
Office Management & Coordination
- Ensure smooth day-to-day operations across the reception and office areas.
- Serve as a contact person for employees on everyday organizational matters.
- Handle a wide range of administrative and organizational duties.
- Coordinate service providers and support site-related topics.
- Issue goods and products to self-pickup customers.
- Coordinate incoming and outgoing mail together with the apprentices.
- Manage REPA pool vehicles.
Travel & Event Support
- Arrange hotel stays and other travel-related services.
- Provide pick-up and drop-off support when needed.
- Assist with the planning and execution of internal events, meetings, and company gatherings.
Improvement & Process Development
- Actively help advance the front office function.
- Contribute ideas to improve workflows, processes, and service quality.
- Help create a modern and professional working environment.
Candidate Profile
You should bring a completed commercial vocational qualification or an equivalent background, along with around 3 to 5 years of professional experience in reception, office management, front office, or a similar role. A strong service mindset is essential, as well as excellent organizational ability, a structured approach, and a reliable way of working.
Very good German skills at C1 level and good English skills at B2 level are required, both spoken and written. You should also be confident using standard MS Office applications and bring initiative, ownership, and a genuine interest in taking responsibility.
