About the Role

The position of Front Office Assistant at The Address Collective entails the warm and professional greeting of guests, efficient room allocation, and providing consistent high-quality customer service. The role requires punctuality, adherence to company standards, and maintaining excellent work presentation and hygiene.

Key Responsibilities

  • Arrive punctually for shifts, dressed in clean, presentable uniform compliant with grooming standards.
  • Maintain personal and workplace cleanliness and hygiene at all times.
  • Follow the company Code of Conduct and comply fully with health, safety, fire, security, and hygiene regulations.
  • Understand and implement duties outlined in the Health and Safety Statement and Staff Handbook.
  • Verify accuracy of reception cash floats and manage cash handling according to procedures.
  • Keep all work areas organized, safe, and tidy consistently.
  • Welcome and register guests respectfully, using their names and following brand standards for check-in and check-out documentation.
  • Stay informed about room availability, rates, promotions, and selling procedures.
  • Offer additional guest services such as dinner reservations, porter assistance, and information provision where possible.
  • Post charges correctly to guest room bills and monitor management accounts.
  • Communicate courteously and professionally with guests and colleagues.
  • Provide timely answers to phone inquiries, manage call transfers in absence of a dedicated operator, and handle all reservation administration including cancellations and no-shows in line with policy.
  • Conduct security checks periodically, report maintenance or safety issues promptly to management.
  • Record and convey accurate messages to relevant parties including full details.
  • Manage guest requests and queries with attentiveness, escalating to Duty Manager when appropriate.
  • Balance cash from various outlets at shift end and safely handle guest deposits and foreign exchange transactions.
  • Maximize sales opportunities by promoting in-house services.
  • Participate in required training sessions and team communications as scheduled.
  • Complete checklist duties and any reasonable tasks assigned by management or guests.

Required Skills

  • Fluency in English language communication.
  • Proficiency in using Outlook and general computer literacy.
  • Experience or background in hospitality service standards and guest relations.
