Role Overview
The Address Collective is seeking a Front Office Assistant to welcome guests professionally, follow established room allocation procedures, and support the smooth day-to-day running of the reception area.
This position covers a wide range of front desk, guest service, cash-handling, communications, and safety-related tasks. The outline below is not complete, and additional reasonable duties may be assigned as needed.
Core Duties
- Report for duty on time, wearing a clean, well-presented uniform and following the company grooming standards at all times.
- Maintain strong standards of personal hygiene, workspace cleanliness, and overall tidiness.
- Follow the organisation’s Code of Conduct and staff handbook instructions.
- Comply with all company rules on fire safety, health and safety, hygiene, customer care, and security.
- Understand and carry out responsibilities set out in the Health and Safety Statement and Staff Handbook.
- Verify that all reception cash floats are accurate.
- Keep all work areas clean, safe, and organised throughout the shift.
- Welcome arriving guests, register them correctly, and address them by name while following brand procedures.
- Ensure all guest check-in and check-out paperwork is completed in line with standard operating procedures.
- Stay fully informed about company sales processes, offers, and promotions.
- Keep up to date with room availability and current room rates.
- Follow all relevant health, safety, hygiene, guest safety, fire, and emergency rules.
- Respond to guest needs as far as reasonably possible, including restaurant bookings, porter assistance, and general information.
- Make sure all guest charges are entered accurately on the correct room accounts.
- Support the upkeep and monitoring of management accounts.
- Stay informed about hotel facilities and amenities, including parking and directions.
- Communicate clearly and professionally with both colleagues and guests.
- Deliver consistent, high-quality customer service.
- Prepare and share departmental reports when required.
- Handle reservations and reply to guests promptly and professionally.
- Answer the switchboard in a warm, friendly manner and route calls correctly when the switchboard operator is unavailable.
- Process reservations, cancellations, and no-shows in line with company policy.
- Do everything reasonable to support guest comfort, satisfaction, and safety.
- Carry out security checks during the day and escalate any concerns to management.
- Report maintenance concerns to management without delay.
- Record messages carefully for guests and staff, including the date, time, message details, sender, recipient, and initials.
- Ensure messages reach the right people as quickly as possible.
- Handle guest questions and requests politely, and log or escalate issues to the Duty Manager when needed.
- Balance telephone, lounge, restaurant, bar, and reception cash at the end of each shift.
- Assign rooms thoughtfully based on guest requests and requirements.
- Review meeting room telephone charges and post them to the correct guest folios.
- Manage safe deposits for guests.
- Increase in-house sales whenever possible and remain alert to sales opportunities.
- Handle foreign exchange transactions for customers.
- Keep all money secure at all times.
- Attend training sessions and communication meetings when scheduled, and follow the information covered in those sessions.
- Complete all checklist tasks for the shift.
- Follow cash handling procedures at all times.
- Carry out any reasonable instruction from a manager, senior colleague, or guest request.
