Role Summary
The Front Office Ambassador at Everwell Polyclinic is the first person patients, visitors, and partners meet. The role is central to creating a courteous, reassuring, and professional experience while keeping the front desk running efficiently and supporting coordination between administrative and clinical teams. The position reflects the clinic’s patient-first service standards.
Key Responsibilities
- Welcome patients, family members, and visitors in a friendly, respectful, and reassuring way.
- Answer and manage phone calls, emails, and walk-in enquiries related to appointments, services, and general clinic information.
- Arrange, confirm, and follow up on appointments across multiple specialties.
- Keep the reception area tidy, hygienic, and fully supplied with current clinic forms and information materials.
- Work with clinical staff to support a smooth patient journey, timely appointment preparation, and follow-up assistance.
- Help with patient registration, insurance checks, and the collection of required documents and consent forms.
- Carry out administrative duties such as courier handling, scanning documents, sorting mail, and tracking stock or supplies.
- Perform basic data entry in clinic systems, including patient details and appointment records.
- Coordinate with Nursing, Administration, and Marketing teams to improve the overall patient experience.
Qualifications
Applicants should bring at least 3 years of experience in a front desk or other customer-facing position, with healthcare or clinic experience considered a strong advantage. A good grasp of patient privacy, insurance procedures, and medical terminology is beneficial. The ideal candidate communicates clearly, works well with people, remains calm and empathetic, and presents professionally in a busy healthcare setting. Strong English communication is required, and knowledge of Arabic or another language is an added advantage.

This role is based in Dubai, United Arab Emirates and is a full-time onsite position.
