Role Summary

This is a full-time, on-site front desk reception position in Dubai. The receptionist will be the first person visitors and callers interact with, creating a professional and welcoming first impression. The role centers on managing reception operations efficiently, supporting day-to-day office administration, and helping maintain a smooth flow of communication across the organization.

Key Duties

  • Welcome visitors warmly, handle incoming calls, route them to the correct person, and respond to routine inquiries politely and clearly.
  • Keep the reception area organized, presentable, and operating smoothly throughout the day.
  • Record visitor details, manage logs, and oversee incoming and outgoing correspondence, mail, and deliveries.
  • Arrange appointments and coordinate meeting room bookings as needed.
  • Share general company information with guests, callers, and other stakeholders.
  • Carry out basic administrative work such as filing, data entry, document preparation, and other clerical support tasks.
  • Assist internal teams with routine office administration to support efficient daily operations.
  • Work closely with colleagues across departments to ensure a positive experience for clients, partners, and office visitors.

Skills and Qualifications

The ideal candidate should bring strong front desk and clerical abilities, including experience handling reception tasks, mail, deliveries, and organized record-keeping. Excellent telephone manners and clear communication are essential for managing calls professionally and sharing information courteously. A strong customer service mindset is important, along with a friendly, patient, and solution-focused approach.

Applicants should be comfortable using office applications such as MS Office, carrying out basic data entry, and working with common office equipment like printers and multi-line phone systems. Good organization, time management, reliability, and attention to detail are important in a busy workplace.

Fluency in English, both written and spoken, is required. Knowledge of additional regional languages is considered an advantage. Prior experience in reception, front office, or administrative work is preferred, especially in a corporate or customer-facing setting. A high school diploma or equivalent is required, and extra training or certification in administration, office management, or a related area would be beneficial.
