Role Overview

Reporting to the Senior Manager, Finance, this position supports accounts payable operations, including the prompt handling of weekly payments, review of pre-authorized payments, and assistance with corporate credit card processes. The role also helps ensure that all activity follows internal controls and CCS expense policies.

Key Responsibilities

  • Review, validate, and process weekly invoices, employee expense claims, rent payments, and other payment requests according to CCS procedures.
  • Coordinate with internal teams to complete month-end pre-authorized payment tasks, including document verification, approval checks, bank reconciliation, and entry in NetSuite.
  • Handle weekly payable processing through imports and integrations from departments such as Transportation, Grants, and Research.
  • Investigate and clear issues flagged in the Palette Invoice Log and NetSuite exception workflow so invoices are routed correctly.
  • Support administration of the company expense reporting system, Palette, and escalate unresolved transaction issues to the Finance team.
  • Respond promptly to questions sent to the Accounts Payable inbox.
  • Assist with corporate credit card administration, including transaction uploads, tracking, maintenance of the US Bank platform, card and limit requests, and user issue resolution.
  • Help staff troubleshoot AP-, expense-, and card-related concerns.
  • Serve as backup support for AP processes as needed.
  • Contribute to other tasks, projects, process-improvement efforts, and system implementations as assigned.
  • Work with the Senior Manager to document new or revised AP procedures.
  • Support year-end audit activities related to AP requests and coordinate with the AP team.
  • Help strengthen a workplace culture rooted in diversity, inclusion, belonging, and equity.

Requirements

  • Minimum 1 year of experience in a similar or related role.
  • University degree or post-secondary diploma in accounting or business.
  • Strong customer service skills and clear verbal and written communication.
  • Solid Excel ability and comfort working with accounting systems; experience with complex platforms such as NetSuite is preferred.
  • Positive, practical, and solution-oriented approach with the ability to work independently and collaboratively.
  • Strong accuracy, organization, prioritization, and multitasking skills to meet time-sensitive deadlines.
  • Good understanding of accounting principles.
  • Strong awareness of cybersecurity practices and related procedures.
  • Ability to work effectively in both office-based and remote settings.
  • French/English bilingualism is strongly preferred; French is considered an asset because of the organization’s national reach.
