Job description

Role overview

We are seeking a Facilities Coordinator to support the South East team. The main base for this position is the Colchester office, although occasional travel to the Snodland, Kent site will also be needed. A company car is provided with the role.

What the role involves

This is a high-visibility position focused on maintaining a safe, healthy and supportive environment for employees, visitors and contractors who use the South East office facilities. The role also helps keep the workplace welcoming, accessible and inclusive.

A major part of the job is managing diaries and calendars for the South East senior leadership team so their time is used effectively. You will also organise meeting rooms and support the smooth running of conferences and events.

Key duties

  • Make sure South East office facilities meet health and safety standards and comply with all legal obligations.
  • Oversee and improve the performance of service contracts such as security and cleaning.
  • Work with the purchasing team to get the best value from approved suppliers and contracted spending.
  • Ensure environmental, quality and safety procedures are properly understood and followed.
  • Deal promptly and appropriately with emergencies and urgent situations.
  • Share useful practices and ideas with colleagues across the business and within the wider industry.
  • Manage the senior leadership team’s diary coordination to maximise time and productivity in the region.
  • Review incoming external communications for the senior leadership team and route them for the correct action or response.
  • Keep office IT connectivity and related working practices current and effective.

Candidate profile

The ideal candidate will bring relevant facilities or office management experience, strong communication abilities, and confidence using IT systems and corporate procurement processes. Knowledge of statutory inspections in an office setting is helpful, though not essential.

Qualifications and requirements

  • IOSH Managing Safely or a facilities management qualification is preferred.
  • A full, clean driving licence is required.
  • Previous experience managing an office or similar facility is preferred.
  • Strong IT literacy is needed to carry out the role effectively.
  • Understanding of corporate procurement rules is required.
  • Clear written and verbal communication skills are essential.
  • Knowledge of statutory inspection requirements in an office environment is preferred, but not mandatory.
