Role Overview

We are looking for an organized, dependable, and proactive Executive Secretary to support senior leadership as the organization expands and strengthens its operations. This position focuses on providing end-to-end administrative and executive assistance so daily work runs smoothly, communication stays efficient, and coordination across teams remains effective.

Key Responsibilities

  • Deliver senior-level administrative assistance to executives, including managing calendars, arranging meetings, handling correspondence, and organizing travel.
  • Draft reports, presentations, agendas, and meeting minutes, and keep records and documentation accurate and up to date.
  • Oversee communication between internal teams and external contacts, including clients, stakeholders, and departmental representatives, while maintaining a professional and discreet approach.
  • Organize executive schedules, manage priorities, track appointments, and ensure follow-up on action items and important deliverables.
  • Support the planning and coordination of corporate meetings, conferences, events, and business travel.
  • Treat confidential matters with care and uphold a consistently professional standard of conduct.
  • Assist with office administration and operational workflows to improve efficiency and support compliance with company policies.

Qualifications and Skills

The ideal candidate should hold a bachelor’s degree in Business Administration, Management, Human Resources, or another relevant discipline. A minimum of 3 to 5 years of experience in an Executive Assistant, Personal Assistant, or similar senior-support role is required. Strong organization, time management, multitasking, and attention to detail are essential, along with the ability to work independently in a fast-paced environment. Proficiency in Microsoft Office tools such as Word, Excel, PowerPoint, and Outlook, as well as virtual collaboration platforms, is expected. The role also requires excellent written and spoken English and Arabic communication skills, along with sound problem-solving abilities and a professional approach to handling sensitive information.
