Piccola Ma Carina Development GmbH develops premium residential properties and luxury hotels in Munich, the Alpine region, and selected destinations across Germany and Austria. The company supports projects from the first concept through acquisition, development, financing, planning, sales, and execution all the way to handover. Role overview

This position is not a standard assistant role. It is designed for a highly organised professional who works directly with the founders, takes ownership, and helps ensure that projects, meetings, deadlines, and key priorities move forward reliably.

You will act as an organisational hub between the founders, projects, investors, planners, consultants, sales partners, and the internal team. The role combines executive support with project coordination and operational assistance in day-to-day business.

Executive support

  • Manage and coordinate the founder’s calendar
  • Arrange business travel, hotel stays, restaurant bookings, and event logistics
  • Prepare meetings and appointments in advance
  • Track follow-ups, decisions, and pending items
  • Support correspondence and document administration
  • Prepare materials for investor, banking, and business partner meetings

Project coordination

  • Plan and support project meetings before and after they take place
  • Create and maintain task lists and action trackers
  • Monitor decisions and deadlines
  • Coordinate between project leadership, planners, specialist planners, and consultants
  • Maintain project overviews and documentation
  • Assist with tendering, award processes, and project communications

Sales and business development

  • Maintain and further develop the CRM system
  • Track prospects and business contacts
  • Support sales and marketing initiatives
  • Prepare presentations and brochures/exposés
  • Assist with recruitment activities
  • Help improve internal workflows and digital processes

What the company is looking for

The ideal candidate does not need to come from real estate development. What matters most is strong organisational ability, accountability, and the ability to bring tasks to a reliable close.

You are a strong match if you work in a highly structured way, can keep multiple topics under control at once, think ahead, act proactively, take responsibility, work in a dependable and solution-oriented manner, and handle confidential information professionally. The role also requires very good German and good English.

Experience as an Executive Assistant, Personal Assistant, Office Manager, Operations Manager, or Project Coordinator is considered an advantage.
