Role overview

This position is a high-visibility Executive Assistant role supporting members of the Executive Team. It is best suited to someone who is highly organized, proactive, comfortable moving quickly, and able to solve problems before they become issues. The person in this role will serve as a key operational support partner, helping executives stay focused by handling scheduling, logistics, and other day-to-day priorities.

There is a strong preference for this position to be based in New York, and there is also a strong preference for this position to be based in California. Exceptional candidates anywhere in the United States may also be considered. The company also has offices in San Francisco, Seattle, New York, and Seattle.

Key responsibilities

  • Own scheduling and priority management for as many as 6 C-suite leaders, with a primary focus on Google Calendar.
  • Arrange and oversee internal and external meetings and event logistics.
  • Help organize VIP meetings with customers, executive prospects, candidates, and investors.
  • Support special initiatives as needed, including coordination related to international expansion, while staying ahead of needs and using sound judgment with limited guidance.
  • Review, edit, and submit monthly expense reimbursement reports.
  • Handle travel coordination when required.
  • Develop strong working relationships with executives and cross-functional colleagues.

Required qualifications

  • At least 5 years of relevant professional experience.
  • Background supporting C-suite executives in a fast-paced environment.
  • Direct experience managing complex calendars and travel arrangements.
  • Investor relations support experience is a plus.
  • Strong working knowledge of Google Workspace and Slack.
  • A highly organized, anticipatory approach to work, with the ability to solve problems before they arise.
  • Capability to manage several urgent priorities at once while maintaining speed and accuracy.
  • Excellent written and verbal communication skills with a polished, professional style.
  • Strong attention to detail and consistent follow-through.
  • Ability to handle sensitive information with discretion.

Compensation and employment notes

The expected compensation for this role is $100,000 to $150,000 per year. Salary decisions are based on market benchmarks, company stage, role scope, experience, skills, qualifications, and internal equity. Candidates with more or less experience than the range described may still be considered, and any revised salary expectations would be shared during the process. For candidates outside the U.S., compensation may differ and will be communicated directly.
