Role Summary

This position exists to keep the Co-CEOs operating as effectively as possible by handling complex scheduling, travel planning, operational coordination, and communication with key stakeholders. The Executive Assistant reports to the Chief of Staff and works closely with both Co-CEOs. Over time, the role may expand into strategic projects, Board support, and executive communications.

Work Schedule and Availability

Although the organization generally follows a four-day workweek, this executive support role is structured as a Monday through Friday position. It is a full-time role requiring about 40 to 50 hours per week. Because the assistant supports two Co-CEOs, the role calls for a higher level of availability than many other positions, including occasional responses during evenings and weekends when urgent matters arise.

What You Will Do

  • Manage demanding calendars for two senior leaders and arrange meetings with key stakeholders, usually within 24 hours of the request.
  • Spot potential scheduling conflicts early and resolve them while keeping CEO priorities and organizational needs in mind.
  • Coordinate both leaders’ schedules so they remain aligned and efficient.
  • Create daily and weekly briefing materials that summarize priorities, background information, and supporting documents.
  • Monitor urgent messages outside normal business hours when needed, with timing and frequency varying based on travel and events.
  • Organize executive travel, including flights, hotels, ground transport, and detailed itineraries.
  • Coordinate logistics for conferences, Board meetings, donor visits, and meetings with strategic partners.
  • Handle expense reconciliation and travel reimbursement tasks.
  • Prepare travel-related briefing materials and anticipate upcoming travel needs.
  • Act as a polished and dependable contact for employees, Board members, partners, and outside stakeholders.
  • Handle confidential and sensitive information with care and discretion.
  • Improve workflows and systems so they better support CEO priorities and deadlines.
  • Coordinate leadership meetings, team offsites, and organization-wide events as needed.
  • Support cross-functional initiatives and strategic projects.
  • Maintain organized tracking systems for action items, deadlines, and follow-ups.
  • Assist with Board coordination when assigned.
  • Provide personal support tasks when requested.

Qualifications and Competencies

  • Strong commitment to Merit America’s mission of expanding access to family-sustaining careers and economic mobility.
  • Alignment with the organization’s values, including shared ownership, continuous learning, inclusivity, and collaborative impact.
  • Previous experience as an Executive Assistant or in a comparable senior-level administrative role.
  • Proven ability to manage complex executive calendars and coordinate across multiple stakeholders.
  • Demonstrated habit of anticipating needs and solving problems before they escalate.
  • Excellent written and verbal communication skills, including the ability to draft professional messages on behalf of executives.
  • Strong relationship-building skills and the ability to work effectively with people at all levels.
  • Comfort serving as a liaison among executives, Board members, partners, and internal teams.
  • Highly organized approach to shifting priorities and deadlines in a dynamic remote setting.
  • Experience arranging complex travel, including international travel.
  • Ability to build or improve systems that increase executive efficiency.
  • Working knowledge of Google Workspace, Slack, Zoom, and similar collaboration tools.
  • Comfort using AI tools such as Claude or ChatGPT to improve drafting, summarizing, and scheduling.
  • Ability to thrive in a fully remote, distributed environment.
  • Willingness to learn new tools and processes quickly.
  • Strong discretion, sound judgment, and a clear sense of when to escalate issues.
  • Flexibility to respond to urgent matters outside standard business hours when necessary.
  • Preferred experience supporting C-suite leaders in a nonprofit or mission-driven environment, a startup, or another high-growth organization.
  • Helpful background in education, workforce development, social impact, or large-scale event coordination.

Compensation and Benefits

The annual salary for this position is $100,000. Merit America follows a market-based and equity-driven compensation approach, benchmarking roles against comparable nonprofit organizations with similar budgets and geographies and paying the same rate for the same role.
