Role Overview
This opportunity is for an experienced Executive Assistant who can thrive in a busy, fast-moving setting and bring structure, organisation, and momentum to executive operations. The role is much broader than calendar support; it is designed for someone who will act as the CEO’s trusted partner and a central coordination point between the CEO, the Leadership Team, and the wider business.
In this position, you will work closely with the CEO to help prioritise business demands, manage competing deadlines, prepare executive and Board-level communications, and keep important actions moving. The role requires strong relationship-building skills, sound judgement, discretion, and a proactive approach to supporting the organisation’s growth.
Key Responsibilities
- Oversee the CEO’s busy diary, meetings, travel arrangements, and priority commitments so time is used effectively and aligned to business goals.
- Serve as the main point of contact between the CEO, the Leadership Team, and the broader organisation, handling communication and follow-up on behalf of the CEO.
- Produce polished Board papers, executive reports, presentation materials, meeting agendas, and minutes.
- Organise Leadership Team and Board meetings, while monitoring actions through to completion within the required timelines.
- Prepare professional correspondence, internal messaging, and company-wide announcements for the CEO.
- Handle confidential and commercially sensitive information with a high level of care, professionalism, and discretion.
- Coordinate executive events, leadership forums, client meetings, and strategic planning activities.
- Look for ways to strengthen executive workflows, governance practices, and administrative efficiency.
- Develop trusted relationships across the business, anticipate the CEO’s needs, and resolve issues before they escalate.
- Contribute to strategic initiatives and other executive projects as needed.
Requirements
- Proven background supporting a CEO or senior executive in a complex and fast-paced environment.
- Excellent planning and time-management ability, with confidence juggling multiple priorities and working independently.
- Strong written and verbal communication skills, including experience preparing Board papers, executive reporting, and formal business correspondence.
- Well-developed stakeholder management skills and the confidence to work with senior leaders, clients, and external partners.
- High levels of integrity, sound judgement, and discretion when dealing with sensitive or confidential information.
- Advanced Microsoft Office capability, including Outlook, Word, Excel, and PowerPoint, with the ability to create high-quality executive documents.
- A proactive, solutions-oriented mindset with the ability to anticipate needs, follow through on actions, and keep priorities moving.
- Experience with Board governance, company secretarial work, or executive reporting will be considered an advantage.
