Job description
Position Summary
This role provides high-level administrative and coordination assistance to the President & CEO. It centers on keeping the CEO’s schedule organized, arranging meetings, and helping the office run smoothly on a daily basis. The position also contributes to Board governance work, keeps communication flowing across leadership, and helps ensure priorities are tracked through to completion.

Classification: Exempt, regular, full-time, hybrid with about 70% of working hours onsite

Executive Support
- Oversee the CEO’s calendar, including setting priorities, arranging appointments, and handling meeting logistics.
- Set up internal and external meetings, prepare agendas and materials, and manage post-meeting action items.
- Prepare routine correspondence and help organize meetings in advance.
- Coordinate CEO travel, speaking commitments, and expense-related tasks.
- Help plan leadership meetings, staff meetings, and offsite gatherings.
- Use workflow and project-tracking tools such as Airtable, Asana, BoardEffect, or similar platforms to manage tasks and follow-ups.
- Work closely with leadership team members, including the Chief of Staff, to align priorities and ensure meeting readiness.
Board and Governance Support
- Arrange logistics for Board and committee meetings, including scheduling and document preparation.
- Assist with preparing and sending Board materials, such as agendas and supporting files.
- Capture notes and monitor action items when needed.
- Keep Board records and contact details current, including updates in systems like Salesforce.
Stakeholder and Donor Coordination
- Partner with the Development team to stay informed about important stakeholders, including donors and partners, so the CEO has the context needed for scheduling and meeting preparation.
- Act as a coordination point for meetings involving internal and external stakeholders.
- Communicate professionally with Board members, donors, and partners as required.

Qualifications and Skills
- Bachelor’s degree or an equivalent combination of education and experience.
- At least 5 years of experience in administrative or executive support.
- Strong skills in organization and time management.
- Excellent written and verbal communication skills.
- Ability to work independently while managing several priorities at once.
- High discretion and the ability to protect confidential information.
- Experience coordinating with multiple stakeholders and supporting leadership priorities.
- Preferred: background supporting senior leaders in a nonprofit or similar setting.
- Preferred: experience handling Board or governance-related activities.
- Preferred: familiarity with workflow or project management tools such as Airtable or Asana.
- Preferred: experience using Board management systems such as BoardEffect.
- Preferred: exposure to donor-related work or collaboration with development teams.

Compensation
Annual salary range: $85,000 to $95,000.
