Role overview
We are seeking a highly organised and dependable Executive Assistant / Founder’s Office Executive to work directly with the founder across several hospitality and new brand initiatives. This position is designed for someone who can introduce structure, keep tasks moving, and ensure execution discipline in a fast-paced founder-led setting. It is much broader than a routine administrative assistant role.
Key responsibilities
- Oversee the founder’s day-to-day calendar, meetings, and top priorities.
- Build and maintain task trackers, follow-up logs, and project dashboards.
- Liaise with internal teams, vendors, consultants, and candidates to keep work progressing.
- Document meeting discussions and turn them into clear action items.
- Persistently follow up until tasks are closed.
- Keep documents, plans, spreadsheets, and operating notes well organised.
- Draft basic reports, summaries, and reminders as needed.
- Convert founder ideas into practical next steps and work plans.
- Coordinate interview schedules, site visits, project reviews, and launch-related activities.
- Track important decisions, conversations, and deadlines so nothing is overlooked.
Candidate profile
The ideal candidate is extremely detail-oriented, calm under pressure, reliable, and discreet. They should be comfortable working closely with a creative founder and be able to bring clarity and structure to a busy environment. Strong communication, disciplined follow-through, and the ability to organise information into usable formats are essential.
Skills and tools
The role requires strong written and spoken English, along with solid command of Excel, Google Sheets, and Google Docs. The candidate should be comfortable working with WhatsApp, email, calendars, trackers, lists, daily plans, and task-management workflows.
Experience preference
Prior work as an Executive Assistant, Founder’s Office associate, project coordinator, operations coordinator, or chief-of-staff assistant will be considered an advantage. Background in hospitality, F&B, or startups is helpful, though personal ownership, structure, and consistent follow-through matter more.
Location and work type
This is a full-time onsite position based in Kolkata / Greater Kolkata Area. The role is suited to someone who enjoys bringing order to fast-moving work and supporting a founder building multiple hospitality and café/QSR projects.
