About the Role
This position is designed for a highly capable Executive Assistant who can support senior leaders in a fast-moving, high-visibility environment. The role calls for someone who is organized, proactive, and comfortable stepping in before issues surface. You will serve as a key operational partner to members of the executive team, helping them stay focused by handling scheduling, coordination, logistics, and special assignments.
For East Coast candidates, there is a strong preference for the role to be based in New York, though excellent applicants across the U.S. may be considered. The company also has offices in San Francisco and Seattle. For West Coast candidates, California is preferred, with exceptional candidates across the U.S. also welcome. Key Responsibilities
- Take ownership of calendars and task prioritization for up to six C-suite executives, with Google Calendar as the primary tool.
- Arrange and coordinate the logistics for internal and external meetings and events.
- Help plan and run VIP-facing meetings with customers, executive prospects, candidates, and investors.
- Support special projects, including work related to international expansion, while anticipating needs and using sound judgment with limited guidance.
- Review, refine, and submit monthly expense reimbursement reports.
- Organize travel arrangements when required.
- Develop strong working relationships with executives and cross-functional colleagues.
Requirements
- At least five years of relevant professional experience.
- Background supporting C-suite executives in a fast-paced setting.
- Proven experience managing complex calendars and travel coordination.
- Investor relations support experience is considered an advantage.
- Comfort using Google Workspace and Slack.
- Strong organizational ability with a proactive, forward-looking approach to problem solving.
- Ability to balance several urgent priorities at once while maintaining speed and accuracy.
- Excellent written and spoken communication skills with a polished, professional presence.
- Strong attention to detail and consistent follow-through.
- Ability to handle sensitive matters with discretion.
