Role Overview

Shamal Holding is looking for an Executive Assistant to help keep senior management operations running smoothly. The role involves managing schedules, handling administrative coordination, supporting communication, and assisting with project tracking and strategic tasks.

Key Responsibilities

  • Deliver end-to-end administrative assistance to senior leaders, including managing calendars, setting up meetings, and handling correspondence.
  • Serve as a key communication link for internal teams and outside partners, ensuring messages are clear and timely.
  • Keep documents, records, and files well organised, including materials related to operations, compliance, and regulatory matters.
  • Plan and coordinate meetings, conferences, and appointments to make effective use of executive time.
  • Research information and prepare data summaries and reports that support decisions and long-term planning.
  • Assist with special assignments and initiatives by providing administrative and logistical support.
  • Take on additional duties assigned by senior management and remain adaptable to changing priorities.
  • Track project timelines across multiple workstreams and help ensure milestones and deadlines are achieved.
  • Maintain central project schedules, trackers, and related documentation.
  • Follow up with stakeholders and project teams to obtain updates on actions, deliverables, and progress.
  • Prepare reports, dashboards, and presentations for senior leadership review.
  • Monitor project status, dependencies, risks, and key deliverables.
  • Support planning meetings, documentation, and execution of strategic initiatives.
  • Assist with resource planning, priority setting, and documentation for scope or change management.
  • Spot delays or blockers and escalate issues to the right stakeholders when needed.
  • Help ensure project work stays aligned with business goals and target timelines.
  • Encourage effective coordination and collaboration between different teams.

Requirements

  • A bachelor's degree in business administration, management, or a closely related discipline is preferred.
  • An associate degree or a relevant certification in office administration, secretarial studies, or a similar area may also be considered.
  • At least 2 years of demonstrated experience in administrative support, ideally within a comparable industry or environment.
