The team supports clients across the UK while coordinating closely with international colleagues, overseeing sourcing and delivery on a global scale. Its working style is grounded in trust, professionalism, and proactive support, allowing leadership to stay focused on strategy and business growth while client service remains strong.

Role Overview

The company is looking for an exceptionally organised, proactive, and discreet Executive Assistant to provide dedicated support to the Managing Director. In this position, you will help keep priorities in order, maintain smooth communication, and ensure day-to-day operations run efficiently. You will take responsibility for administrative tasks, stay ahead of what is needed, and help the leadership team work at a high level in a fast-moving, fully remote setting.

Key Responsibilities

  • Take full ownership of the Managing Director’s calendar and inbox, handling priorities, arranging meetings, and quickly resolving scheduling clashes with accuracy.
  • Keep communication moving by managing emails, calls, follow-ups, and action points so important items do not slip through the cracks.
  • Coordinate meetings from start to finish, including preparation, agenda creation, supporting documents, and tracking actions through to completion.
  • Create polished documents, presentations, and reports with a strong eye for detail and minimal need for rework.
  • Represent the leadership team professionally with clients, suppliers, and internal colleagues, while building and maintaining strong working relationships.
  • Work with Microsoft Office, Microsoft Teams, CRM systems, job-processing platforms, and project management tools to increase efficiency and productivity.
  • Consistently deliver within deadlines while operating in a busy remote environment.
  • Spot problems, delays, and process gaps early, then address them before they affect the business.
  • Manage confidential and sensitive information with complete professionalism and discretion.
  • Look for better ways of working and recommend or implement improvements that support growth.

Required Qualifications

  • At least 3 years of experience as an Executive Assistant, ideally in an SME setting.
  • Hands-on experience with workflow automation and process improvement.
  • Strong planning and organisational ability, with confidence in handling several priorities independently.
  • Excellent written and spoken English communication skills.
  • A high standard of discretion, dependability, and professionalism when dealing with sensitive matters.
  • A proven track record of working proactively, anticipating needs, and finding solutions.

Preferred Skills

  • Experience using automation platforms such as Zapier, Make, n8n, or custom GPT workflows.
  • Familiarity with CRM tools, project management software, and SaaS applications.
  • Background supporting senior leaders in a remote or distributed team environment.

Work Schedule

This role follows UK business hours because the client is based in the UK. Working days are Monday to Friday. The expected schedule is 8:30 AM to 5:00 PM GMT, which corresponds to 2:00 PM to 10:30 PM IST.

Pay & Benefits

  • Annual compensation is ₹8,00,000 to ₹14,00,000, depending on experience.
  • The position is fully remote.
