Role Overview
This is a remote Executive Assistant / Operations Coordinator position with a venture capital firm based in Portugal. The role begins as a contract opportunity and may move into a full-time arrangement later. Compensation ranges from USD 500 to USD 1,200 per month, with the exact offer shaped by experience, skills, availability, and location.

What You Will Be Doing
- Oversee executive calendars, scheduling, and meeting logistics across different time zones.
- Arrange meetings with investors, founders, and partners.
- Draft agendas, capture notes from discussions, and track follow-up actions.
- Handle travel planning, lodging arrangements, and trip itineraries as needed.
- Support internal operations, documentation, and workflow improvements.
- Keep files, records, and internal knowledge resources well structured.
- Help build presentations, reports, and spreadsheet materials.
- Assist in coordinating virtual events, webinars, and team sessions.
- Communicate professionally with founders, investors, vendors, and outside partners.
- Treat sensitive information with care and discretion.
- Provide broad administrative assistance to the investment and operations functions.
What the Team Is Looking For
- At least 2 years of relevant experience in an Executive Assistant, Operations Coordinator, Administrative Assistant, or comparable role.
- Strong planning, prioritization, and time-management abilities.
- Clear written and spoken English communication skills.
- Strong attention to detail and the ability to juggle several tasks at once.
- Comfort working autonomously in a remote setup.
- A proactive approach with a strong sense of accountability.
- Ability to handle confidential matters professionally.
- Working knowledge of Google Workspace, Microsoft Office, Zoom, Slack, and Notion or similar tools.
Preferred Background
- Prior experience in a startup, venture capital, private equity, or technology environment.
- Exposure to CRM platforms such as HubSpot or Affinity.
- Experience supporting events or investor communications.
- Basic project coordination experience.
- Experience assisting more than one executive.
