Role overview
Van Cleef & Arpels is seeking an Executive Assistant to support the Vice President of Marketing & Communications in New York. The position is centered on high-level administrative coordination, helping to keep the VP’s office organized, responsive, and operating smoothly on a day-to-day basis.
What you’ll handle
This role covers calendar oversight, travel planning, budget and expense administration, meeting preparation, and coordination of special projects. You will also serve as a dependable point of support for administrative needs across the executive office and related teams.
Key accountabilities
- Provide broad administrative assistance to the VP, including meeting coordination, visitor reception, travel bookings, supply ordering, and restaurant, hotel, and transportation arrangements.
- Manage the VP’s calendar with care, ensuring priorities are reflected accurately and that important touchpoints with internal teams and headquarters partners are scheduled and maintained.
- Prepare, submit, and track expense reports through Concur, and work to accelerate invoice and bill payments while staying aligned with group policies.
- Coordinate off-site meetings and larger gatherings by arranging travel, hotels, car services, dining reservations, and logistics for both domestic and international participants.
- Support overseas travel schedules and meeting agendas, and assist the CEO’s office and other departments with seminars and company meetings held several times each year.
- Keep the VP’s workspace organized, manage supplies and catering, welcome guests, and provide refreshments when needed.
- Compile presentation materials and strategic inputs from the VP’s direct reports as required.
- Coordinate year-end gifting and greetings for vendors, including shipping arrangements.
- Assist senior direct reports with travel bookings, reservations, and expense-related tasks.
- Work closely with senior leadership on related matters and act as a backup support resource for the Executive Assistant to the President.
- Build Excel spreadsheets, create PowerPoint presentations, and handle other special assignments.
- Help onboard new team members, maintain team records such as birthdays and important dates, and organize gifts or celebrations.
- Take care of everyday ad hoc needs such as meal orders, package shipments, and similar miscellaneous requests.
- Monitor and manage the department’s travel and entertainment budget.
Candidate profile
The ideal candidate will have a bachelor’s degree and at least one year of experience supporting senior executives. Strong written and verbal communication, excellent organization, careful attention to detail, and solid follow-through are essential. Advanced Microsoft Office capability is required, and experience with SAP is a plus. The role also calls for discretion when handling confidential matters, a strong sense of urgency, and flexibility to travel and work early mornings, late evenings, and some weekends as needed. French fluency would be an added advantage.

Compensation
