About the Role

HSBC is looking for a capable Executive Assistant to support the Head of Legal in Singapore. This position is focused on helping the leader stay effective and organised by managing time, information flow, and coordination across multiple priorities.

Key Responsibilities

  • Deliver complete executive support to the Head of Legal, including complex diary control, inbox handling, meeting scheduling across time zones, travel coordination, follow-up on action items, and priority management.
  • Work through assigned tasks carefully and accurately, ensuring they are finished within required timelines while keeping attention on the most important matters.
  • Plan and assist with governance meetings, leadership forums, visits, and events, making sure agendas, documents, formatting, collating, and action tracking are handled smoothly.
  • Liaise with senior leaders and serve as a polished contact point for internal and external stakeholders, helping communication remain clear, timely, and discreet.
  • Develop effective working relationships across the organisation to support everyday delivery and collaboration.
  • Manage administrative IT tasks such as access requests, distribution lists, equipment coordination, logistics support, and maintenance of relevant records, while also helping optimise expenses.
  • Support the Head of Legal’s direct reports with administrative tasks where needed to ensure coordinated delivery across the leadership group.
  • Deal carefully with confidential and sensitive information, and stay aligned with applicable policies, procedures, group standards, and controls.

What You Need

  • Prior experience as an executive assistant, preferably gained in financial services.
  • Excellent people skills, teamwork, and strong written and spoken communication, with the confidence to engage senior stakeholders professionally.
  • Strong planning ability, keen attention to detail, and the capacity to handle a busy calendar and shifting priorities in a fast-moving environment.
  • Good command of common office tools, including calendars, presentations, briefing notes, action trackers, and spreadsheets, along with comfort using digital tools for meetings, travel, and action management.
  • A proactive, self-directed approach with the ability to think ahead, solve problems, work independently, manage pressure, juggle multiple tasks, and follow through reliably.
  • High standards of integrity and careful judgment when working with confidential information.
