Role Overview

The Executive Assistant role offers critical, forward-thinking support to Executive Board members, allowing them to focus on steering the firm towards its strategic goals. As a visible and trusted coordinator of executive activities, this position demands exceptional organisational skills, sound judgement, confidentiality, and the ability to juggle competing priorities effectively.

The role is based in Birmingham, England, with hybrid working options and flexibility to be located at any of Stone King's six offices across the UK.

Key Responsibilities and Duties

  • Deliver comprehensive, proactive support to Executive Board members, managing their priorities and schedules efficiently.
  • Handle complex, frequently changing diaries and resolve scheduling conflicts to ensure optimum productivity.
  • Anticipate upcoming deadlines and demands, coordinating priorities accordingly.
  • Arrange and coordinate internal and external meetings, including scheduling, logistics, agenda creation, and timely circulation of relevant documents.
  • Accurately take minutes during meetings, maintain action logs, and ensure clear communication on follow-ups.
  • Track meeting action items and ensure timely completion by respective stakeholders.
  • Organise travel plans, accommodation, and detailed itineraries, ensuring smooth logistics and cost efficiency.
  • Prepare, draft, and review correspondence, presentations, reports, and briefing papers to a high standard.
  • Assist with preparation and coordination of documents for Board, Committee, and leadership meetings.
  • Serve as a central point of contact for Executive Board members, fostering effective working relationships internally and externally.
  • Handle confidential, sensitive information with professionalism and discretion at all times.
  • Maintain accurate record-keeping and filing in accordance with firm policies.
  • Ensure documents are properly prepared, stored, and distributed following organisational procedures.
  • Uphold professionalism, integrity, and confidentiality across all interactions and deliverables.

Required Qualifications and Experience

  • Demonstrated experience as an Executive Assistant, Executive PA, or senior administrative support to senior leaders or board-level executives.
  • Expertise in managing complex diaries and balancing competing priorities.
  • Proven ability to coordinate meetings, prepare agendas, supporting documents, and take minutes.
  • Experience managing travel arrangements, expenses, and overall executive administration.
  • Strong written communication skills capable of producing high-quality correspondence and documents.
  • Ability to handle multiple tasks simultaneously with meticulous attention to detail.
  • Capacity to work independently, exercising initiative and autonomy.
  • Proficient in Microsoft 365 tools such as Outlook, Word, PowerPoint, and Teams.
  • Understanding of governance and administrative processes within a professional services environment.
