Zirtual is a company focused on helping people maintain a healthier work-life balance by providing seasoned remote executive assistants to entrepreneurs, leaders, and expanding businesses. The role supports clients with both work-related and personal administrative needs so they can stay organized, productive, and focused on their priorities.
Virtual assistants collaborate remotely and independently with their assigned clients, while also being supported by an Account Supervisor. This supervisor helps strengthen client relationships, offers coaching and feedback, and assists with operational questions or challenges.
Role Overview
As a Virtual Assistant, you will act as the primary contact for assigned clients and provide high-level administrative and operational assistance. You will manage a range of projects and tasks, ensuring they are completed on schedule and to a strong quality standard.
Success in this role depends on steady communication with clients and the Account Supervisor, accurate tracking of working hours, and consistent use of the company’s client-support practices.
Key Responsibilities
- Coordinate projects and keep work moving toward deadlines and goals, while keeping clients informed about progress.
- Handle scheduling and calendar administration, including setting appointments and watching for conflicts.
- Support purchasing and expense-related tasks by making sure buys match client requirements and helping with expense reports when needed.
- Perform day-to-day administrative work such as inbox handling, transcription, correspondence, data entry, and other general support tasks.
- Organize and respond to email communication according to client instructions and internal practices.
- Provide light support for social media and marketing-related activities.
- Join virtual meetings and assist during them when required.
- Acknowledge tasks quickly, flag delays or clarifications early, and keep communication proactive.
- Share weekly usage updates with clients to maintain transparency.
- Keep client details accurate and record billable hours correctly.
- Work with the Account Supervisor whenever extra guidance or support is needed.
- Maintain clear, ongoing communication about status, needs, and questions, and remain open to feedback for better quality and time management.
Requirements
- Native-level French fluency with strong speaking and writing skills, plus working proficiency in English reading.
- Solid organization, prioritization, and multitasking abilities.
- A communication style that is professional, dependable, and proactive.
- Ability to learn new tools and software quickly.
- Sharp attention to detail and comfort managing complex work.
- Confidence working in a fast-moving environment with several priorities at once.
- Strong relationship-building and interpersonal skills.

- Must be currently based in France and registered with auto-entrepreneur (freelance) status in France.
- At least 3 years of experience in administrative support, executive assistance, or operations support.
- Proficiency with Google Workspace, including Gmail, Calendar, and Docs, as well as Microsoft Office.
- Proficiency with task management platforms such as Asana, Trello, or Notion.
- Preferred familiarity with tools such as Slack for communication.
- Preferred familiarity with CRM platforms such as HubSpot, Salesforce, or Zoho.
- Preferred familiarity with expense tools such as Spendesk, Pennylane, or Qonto.
- Preferred familiarity with travel management tools.
- Preferred familiarity with website or social media tools such as WordPress.
- Nice to have: experience with HR, payroll, or employee benefits tools such as Payfit and Swile.
- Reliable high-speed internet connection.
- A personal computer suitable for remote work.
- Strong general computer and internet skills, with the ability to adapt quickly to new systems.
- Availability during standard CET business hours, Monday through Friday.
- Some clients may be based in the United States, but working U.S. time zones is not required.
- Schedules generally follow European working hours unless both sides agree to a different arrangement.
- This is a freelance contractor role.
