Job description

About the Company

Canonical is a global software company focused on open source operating systems and enterprise technology. Its Ubuntu platform is used across cloud computing, data science, artificial intelligence, engineering, and IoT use cases. The company works with major public cloud providers, silicon partners, and business leaders across many industries. It operates with a distributed model across 70+ countries, with most roles outside offices and teams meeting in person a few times a year in different locations worldwide.

The business is founder-led, profitable, and expanding. This role sits within Corporate Operations, where the team keeps the company running effectively by managing travel, expenses, events, scheduling, and related processes with precision.

Role Overview

Canonical is seeking Executive Assistants and Corporate Administrators to support corporate operations across departments and time zones. The role suits organized, dependable, and proactive people who enjoy taking ownership, working across teams, and making sure business processes are handled correctly and efficiently.

Success in this position depends less on long experience and more on strong communication, sound judgment, careful planning, and a willingness to learn. Candidates should be comfortable standing by policy, even when working with senior stakeholders, and should take pride in getting things done properly.

Responsibilities

  • Provide operational support to one or more departments.
  • Coordinate monthly reporting, interviews, and meeting schedules.
  • Plan and execute international company events, including all logistics.
  • Handle preparation for quarterly and yearly executive meetings.
  • Work with cross-functional teams on initiatives and operational tasks.
  • Manage vendors and internal/external stakeholders.

Requirements

  • Strong academic performance in school and university.
  • A degree in a business-related or technical field.
  • Clear and effective communication skills.
  • A strong sense of ownership, honesty, and accountability.
  • Self-awareness, maturity, and thoughtful decision-making.
  • Willingness to travel up to four times per year for company events, with trips lasting up to two weeks each.
  • Ability to quickly learn new tools and software.

Additional Skills We Value

  • Prior exposure to operations or executive support work.
  • Experience in project coordination or project management.
  • Background in event planning or event operations.
  • Experience in the travel industry.

Perks and Benefits

  • Fully distributed work setup with in-person team sprints twice a year.
  • Personal learning and development allowance of USD 2,000 annually.
  • Yearly compensation review.
  • Recognition-based rewards.
  • Paid annual leave.
  • Maternity and paternity leave.
  • Employee Assistance Programme.
  • Chance to travel to new places and meet colleagues.
  • Priority Pass and upgraded travel arrangements for long-haul company events.
