Role Overview
The Executive Assistant & Business Support position is a senior-level support role that keeps executive, administrative, and office operations running smoothly. It supports the Country Franchise Head, Surgical & Country Manager, and the Country Franchise Head, Vision Care, while also helping coordinate broader ANZ office activities and workplace administration.
Executive Support and Coordination
- Deliver dependable, proactive support that helps senior leaders stay focused on business priorities.
- Manage complex calendars, meeting schedules, and leadership preparation materials.
- Draft, proofread, edit, and distribute documents, presentations, agendas, pre-reads, and meeting notes.
- Handle confidential information with strong judgment, care, and professionalism.
Travel, Expenses, and Financial Administration
- Organize efficient domestic and international travel arrangements for the Country Franchise Heads.
- Prepare and submit expense claims in a timely manner.
- Provide occasional travel and expense support to other members of the Country Management Team.
Events, Communication, and Culture Support
- Coordinate company-wide events such as Town Halls, Coffee Corners, CMT/CLF forums, and internal communication activities.
- Assist with engagement and inclusion initiatives that help build culture and alignment across the business.
- Support programs linked to First Nations communities and ANZ recognition initiatives, where required.
Office and Facilities Management
- Act as the main contact for office operations and facility-related matters.
- Liaise with facilities partners such as JLL and other service providers to keep the workplace running efficiently.
- Support WHS-related activities, including office safety inspections, hazard reporting, and building safety training such as Fire Warden duties.
- Assist with space planning and workplace improvement projects.
Business and Franchise Support
- Help coordinate franchise-wide projects, offsites, and business events from planning through delivery.
- Provide backup coordination support for commercial and operational workstreams.
- Build simple trackers, reports, and summary inputs to support leadership reporting and decisions.
Performance Expectations
- Deliver accurate and timely administrative support.
- Contribute to smooth office and workplace operations.
- Maintain strong service levels for internal stakeholders.
- Support effective meeting and event execution.
- Follow WHS requirements and relevant company policies.
Experience and Qualifications
This role calls for a business college degree or a qualification in a related field, along with at least 5 years of executive support experience. Strong Microsoft Office capability, stakeholder management skills, and prior office operations experience are preferred.
