Job description

Role Overview

This opportunity is for a highly organized professional who can combine senior executive support with the smooth running of office operations. The position sits within the financial services sector and offers the chance to work closely with leadership in a collaborative, people-first environment.

Work Location and Schedule

The role is based in Mississauga, Ontario, with a hybrid setup requiring on-site presence two days per week.

Contract Details

This is a 12-month contract, with the possibility of extension or a move into a permanent role.

Language Requirement

Strong written and spoken English communication skills are required.

Background Check

A criminal record check and two professional references are required for this position.

Compensation

The pay rate for this role is $30 to $35 per hour.

Key Responsibilities

  • Support the General Manager with executive-level administrative work, including travel arrangements, expense handling, and meeting coordination.
  • Oversee the daily functioning of the office so that the workspace remains efficient, organized, and welcoming for staff and visitors.
  • Manage supplier relationships, office inventory, snack and beverage arrangements, and related operating budgets.
  • Coordinate facilities-related tasks and provide direction to on-site facilities support staff.
  • Handle invoice processing, assist with bank deposits, and keep records and expense documentation accurate and up to date.
  • Work with internal partners across Canada and the United States to keep communication clear and business activities moving smoothly.
  • Support office events, yearly planning, and initiatives that improve the employee experience.

Experience and Qualifications

  • At least 2 years of experience in an Executive Assistant, Administrative Assistant, Office Manager, or comparable support position.
  • Strong planning and multitasking ability, with confidence handling several deadlines and priorities at once.
  • A proactive approach with the ability to anticipate needs and resolve issues before they escalate.
  • Excellent communication and relationship-building skills, paired with a customer-focused mindset.
  • Working knowledge of Microsoft Office Suite, especially Outlook, Word, Excel, and PowerPoint.
  • Experience with vendor coordination, office operations, or facilities support is an advantage.
  • A valid G Class driver's licence and access to a dependable vehicle for occasional local errands and office-related tasks.
