Role overview

The Executive Assistant will support several partners by keeping their day-to-day and longer-term calendars organized, arranging travel, scheduling internal and external meetings, and handling additional administrative work as required. This is a strong opportunity for someone who wants exposure to the business side of communications while working directly with senior leaders.

Key responsibilities

  • Keep complex calendars and schedules organized and coordinate internal and external meetings and commitments using Microsoft Office tools.
  • Act as a communication bridge between partners, employees, and clients.
  • Arrange both international and domestic travel.
  • Support basic IT needs when necessary.
  • Prepare, code, and submit monthly expense reports for the partners.
  • Partner closely with other executive assistants and schedulers.
  • Maintain the executives’ personal and business contact databases.
  • Handle personal errands for partners when needed.
  • Stay available for a flexible schedule, including evenings and weekends.

Requirements

  • At least 2 years of experience in scheduling or administrative support for senior executives, or in Capitol Hill environments.
  • Background in a fast-moving workplace with a proven ability to juggle several priorities and work to tight deadlines.
  • Strong organizational habits and close attention to detail.
  • Self-motivated approach with the ability to anticipate needs and solve problems quickly.
  • Excellent interpersonal skills and comfort working with a wide range of personalities.
  • Adaptability to shifting priorities and responsibilities.
  • Positive, proactive attitude and willingness to work outside standard business hours, including weekends, when needed.
  • Strong spoken and written communication skills.
