Summary

The Escrow Processor plays a pivotal role in managing and completing closing transactions related to refinances, resales (including builder and commercial properties), and specialized market transactions such as short sales and foreclosures. This responsibility includes thorough contract reviews, clearing title requirements, ensuring the accuracy and balance of real estate accounts, explaining all necessary closing documents to involved parties, and correctly disbursing funds. The position demands vigilant oversight of the entire closing process while cultivating a growing client base.

Primary Responsibilities

  • Welcome customers and vendors warmly and professionally, whether in-person or by telephone, promoting Homestead Title and Escrow's positive reputation.
  • Respond promptly and accurately to all customer inquiries.
  • Develop and sustain productive relationships with customers, ensuring their satisfaction and loyalty.
  • Engage in departmental marketing initiatives, which may include attending occasional after-hours events.
  • Serve as the intermediary for all transaction participants, including buyers, sellers, agents, lenders, and attorneys.

Pre-Closing Duties

  • Examine real estate contracts along with any amendments or addendums.
  • Review closing and lender instructions to confirm conditions, endorsements, and appropriate disbursements.
  • Identify escrow requirements for buyers and sellers; secure clear titles by resolving defects, liens, or encumbrances.
  • Proactively inform customers of potential challenges or delays.
  • Collect pertinent documents for title insurance such as contracts, deeds, mortgages, policies, and satisfactions.
  • Verify there are no legal or tax restrictions on properties and ensure all prior year taxes have been settled by sellers.
  • Confirm homeowners association dues are current or correctly prorated.
  • Coordinate with water companies and staff regarding manually prorated bills.
  • Obtain Clear to Close approval in line with FHA, VA, and Conventional lending guidelines.
  • Review documents for settlement accuracy, including balanced figures, correct names, addresses, and legal descriptions before finalization.

Closing Responsibilities

  • Clarify the costs related to loans, appraisals, endorsements, and fees to all involved parties.
  • Present closing and lender documents professionally and secure necessary signatures.
  • Collect and deposit payments, ensuring they are 'Good Funds.'
  • Authenticate private-party disbursements before releasing funds to prevent fraud.

Post-Closing Tasks

  • Manage claim wires, finalize files, disburse funds, and deliver commission checks and documents according to instructions from realtors, lenders, and title companies.
  • Complete file clean-out processes.
  • Review all documents rigorously for typographical errors, proper signatures, notarizations, and legal descriptions; record documents formally with appropriate agencies.
  • Handle payment of water and sewer bills.
  • Address any post-closing quality or reconciliation concerns, maintaining detailed audit records.

Additional Duties

  • Support training initiatives for new employees.
  • Ensure timely completion of workload by organizing supplementary resources if needed.
  • Coordinate closing procedures to enhance efficiency and facilitate system enhancements.
  • Efficiently adopt and implement closing strategies.
  • Perform other assigned responsibilities; extended hours may be necessary during busy periods.

Educational & Licensing Requirements

  • High School Diploma or GED, or equivalent professional experience.
  • Valid Colorado Driver’s License.
  • Certification as a Colorado Notary.
  • Proficient with Email, Microsoft Office Suite, and internet applications.
  • Thorough understanding of legal and real estate terminology and title insurance processes.

Senior Escrow Officer Qualifications

  • Minimum of ten years actively engaged in closing responsibilities.
  • Comprehensive knowledge of foreclosures, assumptions, wraps, short sales, 1031 exchanges, owner carrybacks, construction loans, builder files, and projects.

Work Environment and Physical Requirements

This role is office-based, involving periods of standing, sitting, walking, and the occasional lifting of up to 25 pounds.

Supervision and Department

Reports directly to the Escrow Manager within the Escrow Department.
