Job Overview

This role is for a highly organized ERP Project Administrator who will help keep an ERP implementation program running smoothly. The position supports the ERP Program Manager, PMO, and project workstream leads by handling coordination, administrative tasks, documentation control, reporting support, and governance follow-through. The right candidate will be detail-focused, proactive, and comfortable working in a fast-moving project setting where accuracy and responsiveness matter.

Key Responsibilities

The ERP Project Administrator will be responsible for the daily coordination and administrative support needed to keep the program on track.

  • Support the ERP Program Manager, PMO, and project leadership with administrative and coordination tasks.
  • Arrange project meetings, workshops, Steering Committee sessions, and governance meetings.
  • Create and circulate agendas, meeting materials, minutes, and follow-up notes.
  • Keep project calendars, milestone timelines, and meeting schedules aligned across multiple workstreams.
  • Track action items and follow up with owners to help ensure completion on time.
  • Maintain document libraries, repositories, and collaboration spaces.
  • Keep project documents version-controlled, well organized, and properly archived.
  • Manage plans, status updates, presentations, decisions, governance records, and related support files.
  • Help prepare executive reports and presentation decks.
  • Support governance routines and meeting logistics.
  • Assist with weekly, monthly, and executive status reporting.
  • Maintain Action Item, Decision, RAID, and Change Request logs.
  • Support stage-gate reviews, readiness checks, and governance reporting.
  • Coordinate schedules and resource activities across multiple workstreams.
  • Help onboard project team members, consultants, and vendors.
  • Monitor participation and attendance in meetings and workshops.
  • Facilitate coordination among business, technical, consultant, and vendor teams.
  • Support invoice tracking, vendor paperwork, and procurement tasks.
  • Maintain budget and expenditure records for the project.
  • Assist with contract administration and purchase request processes.
  • Support project communications, stakeholder updates, and announcements.
  • Assist with change management, training coordination, and stakeholder engagement activities.
  • Maintain contact lists and communication distribution groups.
  • Support cutover planning, deployment coordination, and go-live readiness work.
  • Assist with command center logistics during go-live and stabilization periods.
  • Track deployment schedules, readiness documents, issue resolution work, and key communications to support a successful move to production.

Qualifications

This position calls for a candidate with project coordination experience, strong communication skills, and solid technical comfort with collaboration and reporting tools.

  • Associate’s or bachelor’s degree in Business Administration, Project Management, Information Technology, or a related subject is preferred.
  • At least 2 to 5 years of experience in project coordination, project administration, PMO support, or a similar role.
  • Experience with ERP implementations, technology projects, business transformation initiatives, or large enterprise programs is preferred.
  • Knowledge of project governance, project lifecycles, and PMO best practices is highly desirable.
  • Strong working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, Teams, SharePoint, and Smartsheet.
  • Experience with project tools such as Microsoft Project, Jira, Azure DevOps, Monday.com, or similar platforms is preferred.
  • Excellent written and verbal communication skills with the ability to work professionally with stakeholders at all levels.
  • Excellent organization, attention to detail, and the ability to handle multiple priorities at once.
  • Ability to spot issues early, coordinate follow-up, and help drive project progress.
  • Strong interpersonal skills and the ability to collaborate across business, technical, and vendor teams.

Success Measures

Performance in this role will be judged by the accuracy and timeliness of documentation, the quality of meeting coordination and follow-up, effective closure of action items, strong governance recordkeeping, reliable reporting, organized repository management, stakeholder satisfaction, responsiveness to the project team, and solid support for major milestones, deployment efforts, and go-live activities.

Reporting Structure

The ERP Project Administrator will report to the ERP Program Manager, PMO Lead, or Project Director and work closely with executive sponsors, program leadership, functional and technical workstream leads, and system integrator and vendor teams to support delivery, communication, governance, and coordination across the ERP program.

Location and Travel

Portland, OR is preferred. Remote candidates may be considered if their experience and qualifications are a strong match. The candidate must be willing and able to travel as needed for project meetings, workshops, key milestones, go-live activities, and team events.
