About the Role

This full-time, permanent position in Singapore (The Adelphi, Coleman Street) is focused on managing the full administration cycle of group employee benefits insurance for corporate clients. The work covers policy paperwork, premium invoicing, employee movement updates, claims support, and accurate record management across insurer systems and HubSpot. The ideal person is detail-oriented, service-minded, and comfortable coordinating with clients, insurers, and internal teams.

What You Will Do

  • Prepare debit notes for employee benefits group policy renewals, making sure premiums are calculated correctly and matched against insurer confirmations.
  • Handle credit notes for mid-term policy changes, including additions and removals of covered employees.
  • Monitor unpaid debit and credit notes and work with finance teams on collections and reconciliation.
  • Serve as the main contact for client queries on employee benefits, such as claims submissions, reimbursements, and pre-authorisation requests.
  • Work with insurers to resolve claim disputes, delays, and document-related issues, pushing for timely and fair outcomes.
  • Guide clients on digital employee benefits tools, including member apps and insurer HR portals, and assist with troubleshooting.
  • Escalate unresolved insurer matters to the EB Manager with a concise summary of actions taken and next steps recommended.
  • Prepare and follow up on onboarding and renewal paperwork, and track the release of policy documents and e-cards.
  • Keep client records, including certificates, schedules, endorsements, and appointment letters, updated in HubSpot with proper version control.
  • Upload new business records, renewal files, and insurer correspondence promptly, linking each item to the correct client and policy.
  • Coordinate with insurers on member movement updates and maintain accurate census records.
  • Ensure policy files stay organised and current, with follow-up on endorsements completed on time.
  • Draft client summaries showing insured headcount, coverage details, and pending changes.

Requirements

  • A diploma or degree in Business, Finance, Insurance, or another relevant discipline.
  • General Insurance certification such as BCP, PGI, or an equivalent qualification is preferred, though candidates willing to obtain it will also be considered.
  • About 1 to 3 years of experience in insurance operations, employee benefits administration, or a related client-facing role.
  • Exposure to group health, group life, or employee benefits products from an insurer or brokerage is advantageous.
  • Comfort using CRM platforms, with strong preference for hands-on HubSpot experience.
  • Strong numerical ability for premium calculations, billing checks, and reconciliation work.
  • Clear written and spoken communication skills for dealing with clients and insurers.
  • Strong accuracy and attention to detail when handling large amounts of data.
  • Good organisation and self-management skills to handle multiple accounts and deadlines.
  • Working knowledge of Microsoft Excel, Word, and Outlook; familiarity with employee benefits insurer portals is a bonus.
