Role overview
The YMCA of Hamilton, Burlington, and Brantford is seeking a Document Verification Administrator to support YMCA Employment & Training Services in Hamilton. This is an 18-month maternity leave coverage position with benefits and a complimentary YMCA membership. The role is based at 23 Main Street East, Hamilton, requires 35 hours per week, falls under Salary Grade 2, and offers an annual salary of $42,840 to $45,000 depending on experience. The anticipated start date is July 27, 2026.
What the role does
In this position, you will serve as a connection point between Employment Services/Coaches and clients or job seekers. Your main focus will be monitoring client files for employment milestone dates, collecting paystubs to confirm employment status, and helping ensure retention payments can be verified and processed. The role reports to the Program Manager of Employment Services.
Key duties
- Track client files to identify milestone checkpoints at 1, 3, 6, and 12 months after job start.
- Reach out to clients when milestone dates are due to request paystubs that match those dates.
- Encourage prompt submission of paystubs and follow up as needed.
- Check submitted paystubs to confirm the pay dates and hours worked align with the milestone requirements.
- Upload paystubs into the Employment Information Management System for review and submission.
- Work with Employment Coaches to support clients who have reached 1-, 3-, 6-, or 12-month employment milestones.
- Maintain accurate client status updates and records of collection activity in the Employment Information Management System.
- Prepare monthly reports for management covering activity, documentation received, and collection efforts.
- Refer clients back to their Employment Coach when additional support needs are identified during contact.

This role suits someone with strong attention to detail, solid administrative judgement, and the ability to work independently with urgency. You should be comfortable reviewing paystubs from different employers and industries, handling document collection tasks, and communicating professionally with a diverse client base.
