Role overview
Glanua is hiring a permanent Document Controller in Loughrea, County Galway. This position sits within a fast-growing organisation and focuses on keeping project and company records accurate, traceable, and available to the right people at the right time.
What you will do
- Oversee company and project records so they remain organised and well controlled.
- Refine and apply document control processes to improve consistency and efficiency.
- Check that all files and records satisfy required formal standards and documentation rules.
- Arrange, file, store, and locate both digital and paper documents for clients and industry stakeholders.
- Prepare document status updates and progress summaries for senior leadership.
- Carry out routine document checks and audits.
- Use computer systems to organise, route, and distribute documents across the business.
- Support early project planning by making sure documentation is in place when needed.
- Release documents at the correct stages so projects can move forward without delay.
- Roll out updates to the document management system across the Glanua Ireland business.
- Share incoming project documents with the appropriate team members.
- Work with management teams to support procedure compliance on BIM 360 Docs and SharePoint, which are the main document management platforms.
- Complete document management tasks while preserving a clear audit trail for all incoming material.
- Make sure all outgoing information is controlled and fully traceable.
- Support QA processes and help maintain compliance with company procedures.
- Escalate any procedure non-compliance to project teams.
- Provide guidance and training to project teams on the BIM 360 document management system.
- Coordinate with the Digital Lead, BIM Coordinators, Design Managers, Project Managers, and site personnel on document submissions.
- Share short status updates to summarise project progress.
- Ensure information is distributed promptly, accurately, and efficiently so the construction programme stays on track and client needs are met.
- Handle sensitive documentation with discretion and confidentiality.
Experience and background
- A track record of using or implementing web-based information management systems is required.
- Experience in information management, office administration, or a similar discipline is helpful, though not mandatory.
- At least 5 years of experience in documentation or information management is expected, ideally in construction.
- Previous work with cloud-based document management systems is preferred.
- Training will be provided to the right candidate where relevant.
Working arrangement
This is a permanent, full-time onsite role based in Loughrea, Co. Galway.
