Role Summary
All Together Autism is a fast-growing pediatric therapy practice in Raleigh. The organization is built on the belief that outstanding clinical results depend on a strong operational backbone. The Director of Operations will serve as the on-site operational leader, solving complex problems, improving systems, and seeing initiatives through with strong execution.
This is a high-accountability position focused on expanding access to care for children, helping families begin services sooner, and strengthening the organization so it can scale its impact. The role is responsible for the operational and financial health of the practice and works closely with clinical leadership across the business.
The ideal candidate is proactive, analytical, and decisive — someone who identifies issues independently, thinks them through, recommends practical solutions, and follows through without waiting for direction.
Operational Leadership
- Act as the primary on-site operations lead who understands how all parts of the organization connect and can resolve issues across teams without needing step-by-step guidance.
- Work with ownership to spot operational gaps, set priorities, and carry initiatives from idea to completion.
- Keep the clinic environment, workflows, and internal systems aligned with clinical goals and growth plans.
- Handle escalations involving facilities, staffing, and logistics, and close issues out quickly and completely.
Clinical Operations and Scheduling
- Collaborate with clinical leadership on staffing schedules to improve utilization, reduce coverage gaps, and match capacity to client demand.
- Own the client growth pipeline from start to finish by managing the business development team member responsible for referral relationships, monitoring the journey from referral to intake to first session, and keeping new-client growth paced to clinical capacity.
- Review scheduling and service-delivery patterns with clinical leaders to uncover inefficiencies and improve operations continuously.
- Make sure operational systems help clinical staff meet documentation, session, and care-coordination requirements.
Process Improvement
- Create and document repeatable processes that reduce inconsistency and support scale.
- Serve as the bridge between clinical, scheduling, and operational workflows by designing solutions that work across functions.
- Drive adoption of new processes through communication, training, and accountability, not just written documentation.
KPIs and Accountability
- Own a core performance dashboard focused on the metrics most tied to revenue and growth, including hours delivered, authorized versus delivered hour conversion, client census growth, new-client start timelines, staff utilization, attendance and cancellation rates, and care-coordination completion rates.
- Make hours delivered the central operating metric by understanding and improving the factors that affect it, such as schedule fill, attendance, and clinician adherence to planned hours.
- Monitor new-client growth and the referral-to-first-session pipeline to ensure capacity is being converted into delivered care efficiently and profitably.
- Set clear expectations for clinical and operational teams and review performance regularly with transparent tracking.
- Spot trends early, determine root causes, and bring forward practical recommendations rather than only status updates.
- Maintain accountability to targets through direct, structured, and respectful follow-through.
Culture and Team Performance
- Set the tone for high standards, ownership, and accountability throughout the organization.
- Lead or facilitate team meetings, performance check-ins, and cross-functional alignment discussions that result in action.
- Build credibility by being fair, direct, and genuinely committed to team success.
Requirements
- At least 5 years of progressively responsible operations or practice management experience, preferably in healthcare, behavioral health, or a similarly complex service setting.
- Strong analytical ability with a habit of using data to understand problems, guide decisions, and measure results.
- Demonstrated ability to review current processes, identify weaknesses, and implement lasting improvements.
- Comfort working independently: able to ask the right questions, form sound judgments, and move ahead without having every problem defined in advance.
- Proven experience holding teams accountable to performance goals in a direct, respectful, and effective way.
- Strong communication and cross-functional collaboration skills, with the ability to work credibly with clinical leaders, administrative staff, and executives.
- Excellent follow-through and ownership of issues until they are resolved.
- Willingness to work on-site five days per week.
- Comfort with ambiguity, complexity, and an environment where systems are still evolving.
- Genuine interest in helping build and scale an organization rather than only maintaining an existing one.
Nice to Have
- Experience in ABA, behavioral health, or pediatric healthcare operations.
- Familiarity with practice management systems or EHR platforms.
- Background in creating or significantly improving operational infrastructure in a growing organization.
- Experience with clinical operations, billing workflows, or insurance authorization processes.
Work Environment
This role requires five days a week in the office in Raleigh, NC.
